Role Overview

The Business & Project Support Supervisor plays a key role in supporting Outage Services business demands and outage support requirements. This role oversees day-to-day Outage and Business Support operations, combining responsibilities across business support, final field report processing, outage materials logistics, technology and inventory controls, field webstore design support, and onboarding and training coordination. The Supervisor establishes and reinforces standard work for outage material readiness, supervises a team responsible for business support execution, and coordinates planning activities, spend tracking, vendor support, and performance reporting to help ensure safe, compliant, and efficient support to field personnel and stakeholders before, during, and after outage events.

Key Responsibilities

  • Supervise day-to-day Outage and Business Support operations, establish standard work, manage first-level escalations, and drive continuous improvement.
  • Translate annual and seasonal outage forecasts into equipment, technology, documentation, inventory, and material-readiness plans for planned and select forced outages.
  • Support budget planning for outage materials, technology devices, office supplies, and vendor services by tracking spend, forecasting variances, and identifying cost-optimization opportunities.
  • Monitor and report KPIs, including final field report cycle time, backlog, on-time shipments, audit accuracy, inventory loss, and other performance measures.
  • Coordinate outage planning meetings and ensure actions, communications, documentation, shipping, and logistics requirements are captured and completed.
  • Oversee preparation, quality review, version control, distribution, and shipment of physical and digital outage materials, including job books, drawing books, logbooks, CORE cases, technology boxes, and field documentation packages.
  • Maintain real-time field support communications and coordinate resolution of document preparation, downloading, printing, scanning, filing, and production issues.
  • Oversee Final Field Report processing, quality review, routing, approvals, stakeholder communication, work queues, priorities, and turnaround targets.
  • Ensure outage records and materials comply with naming, categorization, database, archival, retention, ISO, export-control, and corporate documentation standards.
  • Supervise receipt, data extraction, secure storage, re-inventory, readiness checks, audits, and replacement of serialized technology devices and field support materials.
  • Maintain inventory controls and min/max levels for technology, outage materials, office supplies, and ancillary items based on outage schedules and usage trends.
  • Lead onboarding, training, and awareness activities for new field personnel covering outage support processes, technology requirements, document standards, systems, and tools.
  • Facilitate departmental and cross-functional initiatives, coordinating stakeholders and deliverables across multiple time zones and seasonal outage peaks.

Requirements

  • Associate degree from an accredited institution and at least three (3) years of related experience and/or training, or an equivalent combination of education and experience.
  • Experience supervising business support, project support, outage services, field operations support, logistics, inventory, documentation, or related operational activities.
  • Ability to read, analyze, and interpret business metrics, procedural documentation, technical requirements, and performance data.
  • Strong communication and presentation skills with the ability to respond to managers, customers, suppliers, field personnel, and cross-functional stakeholders.
  • Strong organizational, reasoning, and problem-solving skills with the ability to work independently, coordinate projects, assess issues broadly, and make sound decisions.
  • Proficiency with Microsoft Word, Excel, Visio, PowerPoint, Outlook, and related business applications; advanced Excel experience with formulas and macros required.
  • Experience creating Power BI dashboards and business KPI reporting preferred.
  • Working knowledge of Adobe Acrobat Pro and document editing, merging, scanning, and production processes.
  • Familiarity with change management and document management systems such as SharePoint, SAP, Smartsheet, and Windchill.
  • Knowledge of ISO 9001 and ISO 45001 requirements, confidential information controls, and export-controlled data handling preferred.
  • Ability to travel overnight less than 15%, maintain a valid driver’s license and passport, and support time-sensitive work during seasonal outage peaks.
  • Ability to work in office and warehouse environments and meet physical requirements, including standing, walking, bending, and lifting up to 25 pounds frequently and 50 pounds occasionally in environments where personal protective equipment may be required.
