Business Process Analyst

Purpose of the Job

The Business Process Analyst (BPA) discovers, documents, and improves Coptic Orphans' business processes to enhance efficiency, effectiveness, and alignment with organizational objectives. The role owns the full analysis cycle for its assigned process portfolio: mapping the As-Is process, validating that map with the process owners, confirming pain points and their root causes, appraising improvement options, and preparing the resulting improvement recommendations for approval.

Essential Functions and Responsibilities

Business Process Analysis and Modelling:

  • Collaborate with cross-functional teams to understand business requirements and conduct structured process discovery through stakeholder interviews, facilitated workshops, job shadowing, and document and system trace analysis, accurately documenting how processes operate in practice.
  • Document and model identified process flows in SAP Signavio using BPMN 2.0 and the department's agreed modelling conventions, naming standards, and level-of-detail rules.
  • Collect and analyze process data, including volumes, cycle and waiting times, handoffs, rework, and exception rates, using appropriate statistical methods and analytical tools to identify trends, assess process performance, and support evidence-based decision-making.
  • Maintain SAP Signavio repository integrity, including version control, model metadata and attributes, glossary and dictionary entries, and archiving of superseded models.

Stakeholder Validation and Sign-Off:

  • With the support and supervision of the Business Process Manager, validate the documented As-Is process with process owners and key participants to confirm that it reflects actual practice, resolve discrepancies, and obtain and record formal process-owner sign-off.
  • Identify and confirm Initial process inefficiencies, bottlenecks, control gaps, and other improvement opportunities with the Business Process Manager and relevant stakeholders, including root causes where appropriate.
  • Maintain appropriate records of stakeholder validation, decisions, and agreed actions, and escalate unresolved issues or decisions requiring management or cross-departmental input.

Solution Design and Improvement Planning:

  • Develop the To-Be process and model it in SAP Signavio, showing the delta against the validated As-Is model, for review and presentation to the Business Process Manager.
  • Develop initial improvement plans and supporting business cases outlining objectives, scope, expected benefits, resources, risks, and implementation considerations, and present recommendations to the Business Process Manager and relevant process owners for approval, as required.
  • Support the implementation of approved process improvements by providing process expertise and addressing process-related issues.

Process Performance Management and Reporting:

  • Define and monitor process KPIs, establish a performance baseline for each process using data from the existing (As-Is) process, and analyze process performance to identify issues, trends and improvement opportunities, recommending appropriate actions.
  • Develop and maintain process performance dashboards, monitor performance against the baseline established during As-Is analysis, assess the impact of process changes, and report findings to the Process Manager on the agreed cycle.
  • Perform other duties commensurate with the role and level, as requested by the Process Manager.

Required Education, Experience, Knowledge, and Skills

  • Bachelor's degree in Business Administration, Information Systems, Industrial Engineering, or a related field.
  • 1–3 years of experience in business process analysis, process performance analysis, or a related field.
  • Proven experience with working knowledge of Business Process Management (BPM) methodologies and of the process lifecycle (discovery, modelling, analysis, improvement, monitoring).
  • Practical ability to model in BPMN 2.0. Hands-on experience with SAP Signavio is required; experience with another enterprise BPM suite (ARIS, Bizagi, Camunda) may be accepted where the candidate can demonstrate BPMN modelling competence.
  • Strong analytical and problem-solving skills, with attention to detail and the ability to analyze processes and relevant data.
  • Strong communication, interviewing, facilitation, active-listening, and interpersonal skills, with the ability to engage stakeholders at all levels, gather information effectively, and communicate findings clearly through effective reporting.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, with familiarity with tools used for process visualization and performance reporting.
  • Excellent written and spoken English communication skills.
  • Strong organizational, time management, and prioritization skills.
  • Proven experience with Lean and Six Sigma techniques, and (Green Belt or higher) is a plus.
  • Familiarity with process automation tools is an advantage (robotic process automation, workflow automation, SAP Signavio Process Automation).

Travel and Working Requirements

  • Limited to typical office environment such as walking, sitting, typing, using office equipment, and occasional lifting of boxes or luggage during travel.
  • Occasional travel, nationally or internationally, is expected.
  • Working out of the official hours and on weekends may be required.
