Job Description

The Business Operations Coordinator I plays a key role in ensuring the efficient execution of operational processes. This position is responsible for managing work orders, maintaining accurate data entry, coordinating procurement activities, and supporting financial reporting, including customer invoicing.
Serving as a central point of contact between project managers, operation managers, internal departments, and customers, the coordinator ensures all project-related information is accurately and promptly captured in ERP system — from initial work order creation through final customer invoicing.
Success in this role requires exceptional organizational skills, keen attention to detail, and the ability to manage competing priorities in a dynamic, fast-paced environment.

Job Responsibilities:
Operational Support
• Manage and update work orders and tasks to ensure accurate project tracking and on-time completion.
• Maintain comprehensive project documentation by organizing and attaching relevant materials such as photos, contracts, and reports.
• Enter daily operational data within established deadlines to ensure records remain accurate and up to date.
• Coordinate tasks and provide professional administrative support to one or more project teams.
• Assist in maintaining and organizing project-related documents, including contracts, invoices, photographs, chronology, and payment records.
• Review incoming goods or services for accuracy in quantity, pricing, and appropriate approvals.
• Verify that received goods or services match the invoice and packing slip; resolve discrepancies as needed.
• Assist with supplier corrections and process reorders for routine goods or services.
• Monitor daily project progress and provide timely, detailed updates to Project Managers, Operations Managers, and other key stakeholders.
• Ensure all project revenue and costs are accurately recorded in the ERP system.
• Open and register incoming goods against purchase orders; issue purchase orders to suppliers as needed.
• Identify opportunities for operational and process improvements; make actionable recommendations.
• Collaborate effectively with cross-functional teams to support project goals and departmental objectives.
• Regularly review and update project revenue data to ensure alignment with actual progress and expenditures.
• Monitor and manage work-in-progress (unbilled) reports to facilitate timely and accurate invoicing.
• Complete special projects and assignments as directed by leadership.

Qualifications:

• Must successfully pass a pre-employment background screening.
• High school diploma or GED required.
• Strong computer literacy and accurate data entry skills.
• Proficient in Microsoft Word and Excel; additional software experience is a plus.
• Demonstrated problem-solving abilities with a proactive, empathetic approach to customer service.
• Comfortable working in a high-pressure, fast-paced environment.
• Proven experience in customer service, sales support, or a related administrative role.
• Excellent communication and interpersonal skills, with the ability to build positive relationships with customers and team members.
• Exceptional organizational and multitasking abilities, with strong attention to detail and a high degree of accountability.
• Capable of working both independently with minimal supervision and collaboratively within a team.
• Willingness to travel occasionally as needed.
• Flexible availability to work based on customer demands, including evenings and weekends.

Preferred Qualifications:

• Educational background in Environmental Studies, Sustainability, Business Administration, or a related field.
• Experience in the environmental industry.
• Knowledge of environmental products, services, and sustainability practices is highly desirable.
