Mitsubishi Heavy Industries America, Inc. (MHIA) is looking for a Business Operations Specialist to join our team. This is a hybrid role based out of our Plano, Texas location.

SCOPE:

The Business Operations Specialist provides administrative and operational support across sales, supply chain management (SCM), and business operations within the Data Center and Energy Management business. The role supports day-to-day execution by maintaining accurate records and documentation, assisting with ERP and reporting activities, coordinating customer and supplier engagements, and supporting event and meeting logistics. The role leverages sales and supply chain management experience, along with an understanding of ERP processes, to support core business processes and enable smooth collaboration among internal teams, external partners, customers, and suppliers. This position collaborates with global stakeholders across Japan and the U.S. to align priorities, enable effective execution, and support MHIA’s long-term business objectives.

The ideal candidate will have at least a minimum of five (5) years of experience in business operations support, sales administration, procurement support, office administration, or related function.

JOB RESPONSIBILITIES:

Sales Operations Support

  • Maintain customer, opportunity, quotation, and order information within ERP and CRM systems.
  • Support sales reporting activities, including pipeline updates, forecasting data, KPI tracking, and management reports.
  • Assist with proposal preparation, customer documentation, and sales administration activities.
  • Coordinate customer meetings, visits, and follow-up activities.

Supply Chain & Procurement Support

  • Process purchase requisitions, purchase orders, invoices and supplier information within ERP systems.
  • Maintain procurement records and support supplier onboarding documentation.
  • Prepare procurement, inventory, and supplier performance reports.
  • Coordinate communications with suppliers and internal stakeholders regarding routine procurement activities.

Technical Documentation Management Support

  • Maintain technical documents, certifications, product literature, and engineering records.
  • Manage document control processes, including filing, version control, distribution, and record retention.
  • Ensure project and product documentation is organized, accurate, and accessible.
  • Support collection and tracking of technical documentation required for customer projects.

Event Coordination

  • Coordinate trade show participation, customer events, and conferences, working together with marketing communication team.
  • Manage event registrations, logistics, travel arrangements, and vendor coordination.

Administrative & Operational Support

  • Prepare recurring business reports, presentations, and operational summaries, in close collaboration with Office Administration Lead.
  • Maintain business records, databases, and tracking tools.
  • Track action items and follow-up tasks to support timely completion of deliverables.
  • Assist with process improvement initiatives aimed at enhancing operational efficiency.

General

  • Build and maintain effective working relationships with stakeholders across MHIA and global teams.
  • Support day-to-day business operations through accurate execution of assigned administrative and operational activities.

MINIMUM REQUIRED QUALIFICATIONS:

  • Education Requirement: Associates degree required or equivalent combination of education and experience.
  • Experience: Minimum of five (5) years of experience in business operations support, sales administration, procurement support, office administration, or related function.
  • Experience using ERP systems such as SAP, Oracle, Microsoft Dynamics, Coupa, or equivalent platforms.
  • Strong proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Outlook, and Teams.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while effectively supporting cross-functional teams.
  • Proven ability to handle confidential information with discretion.

PREFERRED QUALIFICATIONS:

  • Experience supporting sales, procurement, supply chain, or engineering organizations.
  • Experience within data center, industrial manufacturing, infrastructure, energy, or technology sectors.
  • Experience coordinating trade shows, conferences, customer events, or marketing activities.
  • Familiarity with document control and technical documentation management.
  • Experience in rapidly scaling organizations.
  • Experience working in a multinational environment.
  • Familiarity with Japanese business culture and business practices.
  • Business-level proficiency in Japanese is a plus.

WORKING CONDITIONS:

  • Travel: 10%
  • Standard Monday through Friday work week. Additional hours as required.
  • Physical Requirements:
    • Regularly required to sit, stand, walk, talk, and/or hear
    • Frequently lift up to 10 lbs; occasionally up to 25 lbs.
