
PRIMARY FUNCTION/POSITION
Support the Business Director with coordination of the day to day operations of our business across the Classic and Old Masters groups including Decorative Arts, Sculptures, Books and Manuscripts, Old Master Paintings, Old Master Drawings, and allocated Collections.
Support on calendar planning, catalogue production, tours, pre-sale set up and viewing. Coordination of disputes and stock. Support with preparation and compilation of presentation decks, departmental reporting; Specialist tracking and market share data.
Acts as part of international team supporting global initiatives as required.
ESSENTIAL JOB FUNCTIONS (Duties include but are not limited to the following):
Business, Financial & Risk support.
Delegated Online auction business support
Compile statistics on competitor sales pre and post-sale (i.e. sale statistics)
Prepare all sale week communications
Compile all third party costs
Coordinate stock management support
Maintain live runner of active client issues, disputes, risk and insurance cases minute weekly / monthly meetings and escalation to Business Director.
Support Specialist Tracking entries, amendments for department.
Operational support & people
Support on overall temporary staff, management of training & overall hours
Maintain overall department Classic & Old Masters Paris calendar
Oversee the sale calendar and viewing schedules for the department, working closely with Operations and Heads of Department
Coordination support on catalogue and dedicated catalogue production process and help to track against deadlines
Coordination support of tours and exhibitions for sale highlights and liaise with centralized tour coordinator.
Coordinate sale, tour, marketing and viewing deadlines for departments.
Support Business Director during all sale week, logistics, financial Meeting preparation
Other duties Business Coordinator support as and when required

Be a highly organized individual, who can think outside of the box and readily adapt to changes
Exceptional client service skills including strong verbal and written communication skills (French & English)
Strong Project management skills including ability to multi-task, prioritize and manage multiple processes
Strong ability to monitor task progress and ensure consistency in approach.
