Job Title:

Business Development Intelligence & Executive Operations Coordinator (Remote)

Location:

Fully Remote (Kenya-based, supporting a U.S.-based infrastructure construction company)

Employment Type:

Full-Time (40 hours per week)

Schedule:

Minimum of 5 hours overlap with U.S. Eastern Time (8:00 AM–5:00 PM ET)

: Executive Leadership & Chief Operating Officer

Contract Duration:

12 Months

Position Summary

The Business Development Intelligence & Executive Operations Coordinator supports executive leadership by identifying new business opportunities, coordinating business development activities, maintaining sales pipeline accountability, conducting market research, and providing executive operational support. The role combines market intelligence, research, executive coordination, CRM management, reporting, and process improvement to help drive business growth and operational efficiency.

Key Responsibilities

1.
Business Development & Market Intelligence

Research development opportunities across target markets using industry platforms, public records, planning documents, and permitting information.

Identify developers, property owners, consultants, contractors, and key decision-makers.

Track project timelines, approvals, infrastructure requirements, and upcoming opportunities before public bidding.

Maintain accurate prospect information, project data, and relationship records.

Support personalized outreach through emails, letters, and follow-up communications.

Monitor responses and maintain follow-up schedules.

Identify and help advance approximately 5–10 qualified opportunities per month in each target market.

2.
Executive Operations

Organize executive email, prioritize communications, and track follow-up actions.

Coordinate calendars, meetings, agendas, reminders, and meeting documentation.

Track executive tasks, commitments, deadlines, and strategic priorities.

Maintain documentation, workflow organization, CRM updates, and administrative support.

Proactively identify opportunities to improve executive efficiency.

3.
Estimating & Sales Pipeline Management

Maintain bid lists, project pipelines, and opportunity trackers.

Coordinate updates with estimating and project management teams.

Monitor bid submissions, follow-up activities, deadlines, and project status.

Prepare weekly pipeline reports highlighting priorities, risks, and outstanding actions.

Assist in prioritizing opportunities based on strategic fit and business potential.

4.
Marketing Support

Review company website and competitor information.

Support website updates and marketing improvements.

Assist with marketing research as workload permits.

5.
Public Agency & Municipal Research

Contact government agencies, planning offices, and permitting authorities to obtain project information.

Document research findings and maintain accurate records.

6.
CRM & Database Management

Maintain organized prospect databases using Microsoft Lists, Excel, or approved CRM systems.

Track opportunities, communication history, project stages, and follow-up actions.

Ensure accurate, current, and searchable records.

7.
Process Improvement

Develop and maintain standard operating procedures, templates, trackers, and reporting tools.

Recommend workflow improvements that increase efficiency and reduce administrative workload.

8.
Confidentiality & Compliance

Handle confidential business and executive information with professionalism.

Follow approved data security, confidentiality, and document management procedures.

Report any security or confidentiality concerns promptly.


Requirements


Qualifications Required

  • Bachelor's Degree in Business Administration, Marketing, Communications, Project Management, Construction Management, Economics, or a related field.

  • Minimum 3 years' experience in business development, executive support, market research, sales operations, lead generation, or administrative operations.

  • Experience supporting senior leadership or executive teams.

  • Strong research and analytical skills.

  • Experience managing CRM systems, databases, trackers, and reports.

  • Proficiency in Microsoft 365 (Excel, Outlook, Word, Teams, Microsoft Lists).

  • Excellent written and verbal English communication skills.

  • Strong organizational, multitasking, and time management skills.

  • Ability to work independently and maintain confidentiality.

  • Availability to overlap at least five hours daily with U.S. Eastern Time.

Preferred

  • Master's degree or MBA.

  • Experience in construction, infrastructure, engineering, commercial real estate, or related industries.

  • Knowledge of construction market intelligence platforms.

  • Experience researching planning approvals, permits, zoning, or public records.

  • Experience supporting estimating, bid management, or sales pipelines.

  • Experience working remotely with U.S.-based organizations.

  • Familiarity with AI productivity and research tools.
