Job Description

Job Title: Business Coordinator

Location: Bangalore, India

Global Level: C

Introduction to role:

Provide executive, administrative, and site operations support to Alexion India leadership. Coordinate complex calendars, travel, budgets, leadership forums, and events across multiple time zones while supporting engagements with global leadership. Partner closely with colleagues in the US and Europe and serve as a key point of contact for Bangalore site operations. This role requires strong organisation, discretion, collaboration, and a solution-focused approach.

Accountabilities:

Executive & Leadership Support

  • Manage complex, multi-time-zone calendars and coordinate priorities across global teams.
  • Plan and support leadership meetings, off-sites, and town halls, including agendas, communications, logistics, action tracking, and hybrid participation.
  • Prepare and submit expense reports in line with company policies and deadlines.
  • Provide cross-coverage support and maintain clear documentation to ensure continuity.

Bangalore Site Operations

  • Support day-to-day site coordination and collaborate with Facilities, IT, HR, Finance, and other partner teams.
  • Coordinate leadership visits, including scheduling, travel logistics, visitor access, venue arrangements, and on-site support.
  • Support town halls and hybrid events, including technology readiness, rehearsals, and event execution.
  • Coordinate facilities requests, site resources, supplier information, and operational activities.

Workshops, Conferences & Forums

  • Support the planning and delivery of scientific and operational workshops, conferences, and leadership forums.
  • Coordinate communications, invitations, participant onboarding, and action tracking.
  • Manage event logistics, budgets, vendor coordination, and contract administration.
  • Partner with colleagues across the US and Europe to support strategic initiatives and conference activities.

Executive Communications & Content

  • Partner with Communications teams to develop presentations, leadership updates, and event materials.
  • Prepare meeting summaries, speaker briefings, talking points, and executive reports.
  • Maintain organised records, documentation, and version control.

Sustainability & Culture

  • Support sustainable ways of working by promoting efficient use of resources and thoughtful planning.
  • Foster inclusive, respectful communication across cultures and time zones.
  • Support employee engagement activities, team events, and site initiatives.

Essential Skills/Experience:

  • 4+ years of executive support and site operations experience supporting senior leaders across multiple time zones.
  • Strong Microsoft 365 skills (Outlook, Teams, SharePoint, PowerPoint, Excel) and experience with Smartsheet and hybrid collaboration technologies.
  • Experience coordinating workshops, conferences, and hybrid events.
  • Strong written and verbal communication skills, with the ability to prepare executive-quality presentations and updates.
  • High attention to detail in documentation, expense management, and compliance processes.
  • Ability to build effective relationships with stakeholders, vendors, and teams across global regions.
  • Experience improving processes, developing templates, and leveraging automation tools.
  • Sound judgement, professionalism, and the ability to handle confidential information.
