Requirements:

Employment in this position is contingent upon a satisfactory criminal history check (fingerprint-based) in accordance with Chapter 435, Florida Statutes.

2 years of experience in procurement of services and/or materials.

Answers to qualifying questions must be verifiable within the work and/or educational history.

Duties and Responsibilities:

  • Performs monthly review of FBO encumbrances and sends request for release to OED/FBO Budget Officer by the 15th of each month.
  • Monitors, tracks, and provides reports for FBO's annual budget.
  • Serves as the primary contact for all Record Management and Retention for the COO.
  • Processes Quarterly Cell Phone Verifications.
  • Assists with purchase requests in MyFloridaMarketPlace (MFMP) for various sections/units in COO. Also assist other Divisions/Offices as needed with processing in MFMP or P-Card requests.
  • Assist the Mailroom with copier lease contracts and serves as the primary contact for all copier-related activities.
  • Assist and coordinate with FWC's Permit 19 (Business Reply) and Permit 20 (Bulk Mail) accounts at the Main Post Office by ensuring adequate funds are available within these accounts for FWC to conduct business
  • Assist the Mailroom with ensuring payment of annual fees for postage accounts, including but not limited to FWC's PO Box.
  • Responsible for monthly payment of HQ utility bills within Laserfiche.
  • Perform duties related to Monthly Chargebacks for Postage, UPS/FedEx, Copiers, Paper and Motor Pool Usage:
  • Creates end of month document of charge back data
  • Coordinates with the Financial Management Team (FMT) on monthly charge back data.
  • Submits upload of completed charge back document to OED/FBO Budget Officer by the 15th of the month for processing in accounting.
  • Performs duties related to the Tallahassee Headquarters Lease cost distribution and chargeback:
  • Coordinates with all FMT members the annual lease costs.
  • Submits to Accounting for encumbering and payment schedule.
  • Creates and maintains spreadsheets for leased space by Division I Office and performs a quarterly review and updates spreadsheet data as needed.
  • Perform duties related to chargeback of Headquarters Rent:
  • Coordinates with Division/Office budget officers on the annual rent charge, to include annual facility charges (utilities, janitorial, equipment)
