Summary / Objective
The Business Banking Assistant provides administrative, operational, and client support to the Business Banking team by delivering exceptional service to business customers while ensuring efficient processing of commercial banking activities. This role acts as a key point of contact for clients, partnering closely with Business Bankers, Commercial Lenders, Loan Operations, and Retail Banking to deliver a seamless customer experience.
Experience & Education Requirements
- Minimum of 2 years of related banking experience
- Bachelor’s degree or equivalent sales and service experience
- Extensive knowledge of financial institution policies and procedures
- Good interpersonal, communication & computer skills
- Experience supporting commercial lending or business banking, strongly preferred.
- Knowledge of commercial loan documentation and business deposit accounts is preferred.
- Experience with core banking and loan origination systems is a plus.
Essential Job Functions
- Provide administrative and operational support for Business Development.
- Serve as a primary contact for business customers by responding to inquiries and directing requests to the appropriate departments.
- Prepare and process loan documentation packages, account opening documents, and other business banking paperwork.
- Coordinate small business loan closings, renewals, modifications, and documentation with internal departments and external customers.
- Assist with opening business deposit accounts and gathering required documentation in compliance with Bank policies and regulatory requirements.
- Monitor pipeline reports and ensure timely follow-up on pending documentation, renewals, and customer requests.
- Prepare correspondence, reports, presentations, and customer communications.
- Schedule client meetings and maintain Business Bankers' calendars as needed.
- Assist in onboarding new business clients.
- Maintain customer files and ensure documentation is accurate, complete, and compliant with internal procedures.
- Support portfolio management activities, including obtaining financial statements, insurance documentation, and other required customer information.
- Coordinate with Loan Operations, Credit Administration, Compliance, and Deposit Operations to resolve issues efficiently.
- Maintain confidentiality of customer information and adhere to all Bank policies, procedures, and regulatory requirements.
- Participate in customer relationship-building activities and community events as requested.
- Perform additional duties and special projects as assigned.
- Bank Secrecy Act responsibilities include adhering to the Customer Identification Program (CIP) Policy and reporting suspicious activity to the BSA Officer.
- Make Calls on existing commercial relationships
- Follow up on referrals provided by existing customers or bank personnel
- Assist in loan closings with retail products & services
- Participating in ongoing training to stay current on industry trends and new products.
QualificationsRequired knowledge, skills & abilities
- Strong understanding of financial products and services and the ability to learn more
- Assess customer needs, provide solid recommendations, and build customer relationships to optimize sales opportunities with new and existing customers
- Exceptional verbal, written and interpersonal communication skills, with the ability to clearly and concisely articulate issues, carry out instructions and instruct others to generate reports, correspondence, and procedures.
- Possess a professional demeanor including business attire, courtesy, tact and conflict management skills
- Ability to apply critical thinking and problem-solving skills
- Responsive and flexible; ability to adapt to changes in the work environment and modify approaches or methods to best fit the situation.
- Successful completion of in-house training programs or other approved training programs
- Compliance with BSA regulations as appropriate to the position
Physical Demands and Work Environment
- Ability to use standard equipment such as computers, phones, and photocopiers
- Must be able to travel for bank purposes and/or on behalf of the bank (i.e. visiting other worksites, networking, community/marketing events)
- Must be able to work schedules that meet the needs of the Bank, which may include early morning, evening and /or weekend hours
