Job Description

Hello. We’re Virgin Australia. We’re the airline that’s always done things a little different. Our way. The Virgin way. We’re on a mission to make flying better than ‘nice’. And to do that, it takes a team of talented people who are passionate about customer experience, doing the right thing always, with a focus on safety – in the air, on the ground and in our workplaces. A team who values real diversity and inclusion, in a big brand with big ambitions.

What you’ll be doing

As a Business Analyst – Automation, you’ll work across Virgin Australia’s automation portfolio, moving between delivery streams based on business demand and team priorities.

You’ll support the discovery, analysis, design and delivery of automation opportunities across technologies including robotic process automation, workflow automation, intelligent automation, cloud services and emerging AI-enabled solutions. You’ll help ensure opportunities are clearly understood, appropriately assessed and translated into practical requirements that engineering and delivery teams can act on.

This is more than a traditional project-based Business Analyst role. You’ll help improve the maturity, consistency and alignment of processes across the Automation team, strengthen documentation and governance practices, and support the adoption of new technologies by building the artefacts, guidance and operating processes required for teams to use them safely and effectively.

You’ll also identify opportunities to apply AI within the Automation team itself, helping streamline analysis, documentation, reporting, knowledge management and other back-end processes.

Further responsibilities include:

  • Work across automation streams based on demand, supporting initiatives from initial discovery through to implementation and transition into business-as-usual operations.
  • Engage business stakeholders to understand current processes, pain points, risks, dependencies and desired outcomes.
  • Facilitate discovery workshops, interviews and process walkthroughs to define problems and identify appropriate automation opportunities.
  • Document current-state and future-state processes, business requirements, functional requirements, business rules, exceptions and acceptance criteria.
  • Translate business needs into clear, structured and actionable artefacts for engineers, technical leads, testers and delivery teams.
  • Assess whether an opportunity is best addressed through RPA, workflow automation, integration, AI, process change or a combination of approaches.
  • Work with Engineering Leads and solution specialists to support technical and economic feasibility assessments.
  • Support prioritisation by helping stakeholders understand value, complexity, risk, dependencies and delivery readiness.
  • Develop and maintain process maps, user stories, requirements documents, decision logs, traceability artefacts, operating procedures and supporting documentation.
  • Improve the consistency and maturity of business analysis practices across the Automation team.
  • Establish reusable templates, standards and guidance for discovery, requirements, process documentation, testing support and operational handover.
  • Strengthen alignment between automation streams by identifying duplicated practices, inconsistent terminology, process gaps and opportunities for common ways of working.
  • Support the introduction of new automation technologies by defining documentation standards, operating procedures, governance artefacts, support models and user guidance.
  • Ensure new technology capabilities are supported by clear documentation covering intended use, limitations, controls, responsibilities and operational processes.
  • Support test planning, test case development, defect triage, business acceptance and implementation readiness.
  • Identify opportunities to use generative AI and other AI capabilities to improve internal Automation team processes.
  • Apply AI to streamline activities such as process documentation, requirements drafting, meeting synthesis, knowledge retrieval, reporting, test preparation and artefact quality assurance.
  • Define appropriate controls and review practices so AI-generated outputs are accurate, secure, traceable and fit for purpose.
  • Support reporting on pipeline health, delivery readiness, process maturity, benefits, risks and dependencies.

You’ll be great in this role if you have…

  • Tertiary qualifications in Business Analysis, Business, Information Technology, Computer Science or a related discipline.
  • Strong professional experience as a Business Analyst within technology, automation, digital transformation or process improvement environments.
  • Experience working across multiple projects, products or delivery streams and adapting quickly as priorities change.
  • Demonstrated experience in process discovery, requirements elicitation, process mapping and future-state design.
  • Experience translating complex business problems into clear requirements, user stories, acceptance criteria and delivery-ready documentation.
  • Strong understanding of business process automation concepts and the different roles of RPA, workflow, integration and AI-enabled solutions.
  • Experience facilitating workshops and working with stakeholders to navigate ambiguous or incomplete requirements.
  • Strong analytical and problem-solving skills, with the ability to identify root causes rather than simply document symptoms.
  • Strong written and verbal communication skills, with the ability to explain complex information clearly.
  • Ability to influence stakeholders and build alignment across teams with different priorities and ways of working.
  • A strong interest in emerging automation and AI technologies and how they can improve both business processes and internal delivery practices.
  • Practical experience using generative AI tools to improve analysis, documentation, research, reporting or knowledge-management activities.
  • An understanding of the risks associated with AI-generated content, including accuracy, privacy, security, bias and appropriate human review.

We’re committed to looking after you, with some of the best benefits and conditions in the industry – including (but not limited to):

  • Discounted flights for you and your loved ones (including $1000 worth of travel credits per year)
  • A flexible, hybrid work style. Work from home or the office, adapt your location to suit your style and needs
