Position Information

The Business Administrator I, under general supervision, manages the full range of business activities including reviewing and approving business documents and developing, monitoring, and reporting accounts, budgets and other quantitative data.

Responsibilities:

  • Assist Senior Business Administrator and designated Business Administrator with coordination and processing of graduate student tuition and fee payments each semester, including communicating with faculty regarding funding sources and eligibility, preparation of documents for COALS regarding eligible payments on college funding, entry of tuition/fee payments and non-resident waivers in TWAPMTS, post-payment audit of waivers and payments, and maintenance of departmental records including student eligibility under the tuition/fee mandate.

  • Assist Senior Business Administrator with management of departmental balances, including monitoring payroll transactions and encumbrances, and assisting with monthly reconciliation processes.

  • Prepare necessary Workday Business Processes for funding changes and other changes affecting payroll. Prepare necessary payroll reports, assist faculty in managing salary expenditures from grants, work with Sponsored Research Services regarding salary expenditures from grants, and assist Senior Business Administrator regarding other payroll issues.

  • Provide backup support for hiring procedures, including serving as liaison with Payroll/HR offices; assisting with creation and updates of position descriptions and requisitions in Workday; monitoring applicants and coordinating applicant materials; assisting with closing and filling positions; ensuring hiring procedures are followed; supporting supervisor training on Workday and related hiring tools; communicating departmental procedures to employees and applicants; and assisting with onboarding, payroll/personnel documentation, and maintenance of personnel and payroll files in Laserfiche.

  • Serve as Scholarship Administrator, assisting with entry of scholarships/fellowships and requests for new scholarships, while also assisting the Senior Business Administrator with running projections and monitoring scholarship and gift account balances.

  • Serve as backup support for assisting faculty with hiring and employing international applicants and inviting international visitors, including serving as liaison with AgriLife HR Immigration, International Student Services, and AgriLife Export Controls to help prepare, coordinate, and maintain required documentation.

  • Assist with year-end and new year start-up activities; review gold-plate budget preparations; assist with procedures to comply with year-end deadlines.

  • Manage various web based portals such as Workday, Traintraq, Time and Effort, and Laserfiche.

  • Handle Research Experience for Undergraduates stipend payments.

  • Serve as primary approver for AggieBuy requisitions and invoices, as well as Emburse travel and expense reports.

  • Train faculty, staff and students on new and existing business procedures and interpret policies and regulations for staff.

  • Provide backup to business personnel as needed. Cross train other business personnel on payroll and HR-related processes.

  • Other duties as required.


Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.

  • Five years of related experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing and spreadsheet applications.

  • Interpersonal and communication skills.

  • Planning and organizational skills.

  • Ability to multitask and work cooperatively with others.

Salary: Pay Grade11. Compensation for this position is commensurate based on the selected candidate’s qualifications.

Flexible Work Arrangements: Flexible work schedules and remote work options may be available for this position, depending on the nature of the role and employee eligibility, in accordance with AgriLife Alternate Work Location Procedures.
