About the Role

Service Stream’s Utilities division are currently seeking a Business Administration Support Officer to join our growing company. The Business Administration Support Officer is an experienced and highly organised individual providing comprehensive administrative support to the Operations Director and team for the UU MECS Contract.

Nature of position: Permanent, Full Time ( Open to flexible working arrangements)

Location: Brisbane, QLD

Reporting Line: Operations Manager

Key Responsibilities

They are proactive and detail-oriented professional with exceptional communication and organizational skills. This individual will play a crucial role in ensuring the smooth functioning of the team and supporting key initiatives within the business.

  • Calendar and Email Management: Coordinate and manage the Program Director’s schedule, including scheduling meetings, appointments, expenses and travel arrangements. Manage email correspondence ensuring the Program Director prioritises communication responses efficiently and effectively
  • Communication: Assist the Program Director with all staff and team communication
  • Meeting Preparation: Prepare agendas, materials, and logistics for meetings attended or hosted by the Program Director. Take minutes and follow up on action items as necessary
  • Office Operations: Support general office operations, including ordering supplies, coordinating office events, pool car bookings and liaising with other departments
  • Document Management: Organise and maintain electronic and physical files, ensuring easy retrieval of information as needed.
  • Project Support: Assist in coordinating and tracking key projects and initiatives led by the Program Director and collaborating with various teams within the organisation when and where required.
  • Travel Coordination: Arrange and coordinate domestic and international travel for the Program Director, ensuring seamless itineraries and accommodations
  • Expense Management: Process and track expense reports, ensuring accuracy and compliance with company policies.
  • Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.
  • Team Support & Works Coordination: Support works coordination in times of high workload to manage key Operations Administration activities, and team support when and where required.
  • Functions and Events: organisation of program related functions and events as required
  • Reporting Requirements: updating, compiling and distribution of weekly, monthly and annual reports.
  • Onboarding of staff: support with onboarding of new starters, along with assistance eto training & comms when required

About You

  • 2-3 years’ experience in a similar role; Utilities / Construction industry an advantage
  • No formal qualifications required; tertiary qualifications in Administration/Business Administration favourably regarded
  • Exceptional organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to multitask and prioritise tasks effectively in a fast-paced environment.
  • High degree of professionalism and confidentiality.
  • Strong attention to detail and problem-solving skills
