Job Description
The Building Certification Administrator will support the business by providing administrative, project coordination, and compliance support throughout the building certification process. This role will work closely with Building Certifiers, clients, consultants, and internal stakeholders to manage certification documentation, coordinate project activities, monitor certification progress, and maintain accurate project records.
- Provide administrative and project support to Building Certifiers throughout the certification process.
- Prepare, review, and maintain certification documentation, applications, approvals, and project records.
- Coordinate incoming applications and ensure all required documentation is received prior to assessment.
- Schedule inspections, monitor project milestones, and assist in tracking certification progress.
- Support line manager and internal stakeholders with identifying and resolving exceptions and discrepancies. Liaise with external parties where appropriate.
- Maintain accurate electronic filing systems and ensure all project documentation is organised and up to date.
- Assist with reviewing construction drawings, plans, engineering reports, and supporting documentation for completeness.
- Prepare correspondence, reports, certificates, and other administrative documentation as required.
- Follow up outstanding documentation and proactively communicate with clients and consultants to keep projects progressing.
- Assist with managing construction compliance documentation, including Form 15, Form 16, and other certification-related forms where applicable.
- Support continuous improvement initiatives by embracing new technologies, AI-enabled workflows, and efficient administrative processes.
- Deliver exceptional customer service while maintaining professionalism, confidentiality, and attention to detail.
- Other role specific duties as they arise.
Requirements
- Certificate IV, Diploma, or tertiary qualifications in Building, Construction, Engineering, or a related discipline will be highly regarded.
- Previous experience in a Building Certification, Construction Administration, Engineering Consultancy, Building Surveying, or similar construction-related administrative role.
- Previous experience supporting Building Certifiers will be highly regarded.
- Strong administrative and organisational skills with exceptional attention to detail.
- Ability to understand and interpret construction plans and technical documentation.
- Excellent written and verbal communication skills.
- Strong customer service skills with the ability to build positive relationships with internal and external stakeholders.
- Proficiency in Microsoft Office Suite and confidence in learning new software systems.
- Familiarity with construction compliance documentation, including Form 15, Form 16, or similar documentation, will be highly regarded.
- Ability to manage multiple priorities while maintaining a high level of accuracy.
- Strong problem-solving skills with a proactive, solutions-focused approach.
- Willingness to learn new systems and processes rather than relying solely on previous ways of working.
