The essential function of the position is to provide budget management and administrative support. The position is responsible for assisting in preparing, monitoring, and analyzing operating budgets; assists with entering data and running reports in the Florida Accounting Information Resource Subsystem (FLAIR) and in the Legislative Appropriations System/Planning and Budgeting Subsystem (LAS/PBS); performing advanced administrative functions; and assisting with general accounting tasks. The position works under general supervision according to some procedures and decides how and when to complete tasks.

Examples of Work Performed

  • Assists in preparing, monitoring, and analyzing various operating budgets including monitoring available or projected resources and expenditures. The operating reports may include, but are not limited to rate summary, status of expenditures and comparisons, senior judge allocation and usage summary, and other individual reports as needed.

  • Assist with monitoring, analyzing, researching, and reconciling operating budgets, operating budget allocations, and budget amendments using FLAIR transaction history data and legislative appropriations data, to maintain the integrity of the monthly operating reports and the data of all subsystems. Assist with analyzing spending patterns and identifying financial problems as they arise in the operating budgets. Assist with coordinating corrective actions.

  • Maintain internet and intranet web pages related to: SCS funding data, legislative budget requests, District Court of Appeal Budget Commission, Trial Court Budget Commission, and the Office of Budget Services with budget related data, guidance, and forms. Ensure the comprehensive electronic filing system is maintained and convert historical hard copy resources to an electronic format to assist with the creation of the unit's data library.

  • Assist the Budget Analysts to enter data, including budget issues and supplemental budget issues into the LAS/PBS system, and budget control transactions into FLAIR.

  • Provide administrative support as it relates to meeting planning and coordination, meeting material compilation, calendar management, making travel arrangements, processing requests for travel reimbursement, making purchases, processing invoices, monitoring unit expenditures, unit staff overtime, and unit workload statistics.

  • Other special assignments as needed, prepare charts, graphs, budget reports, summaries, surveys, and data collection. Assist with maintaining the instructions and standard operating procedures for the duties of the position.

Note: After completing the required training, this position may be eligible for up to two telework days per week in accordance with the Office of the State Courts Administrator policy.

Education and Training Guidelines
Bachelor’s degree in finance, accounting, or a closely related field; and

Two years of related work experience.

Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.

Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.

Excel and Microsoft Office Suite experience desired.
