Job Description

Transaction Support: Work with deal team throughout transaction process, including pitching, packaging, marketing and closing stages.

  • Initial support includes working with the Graphics & Analytics team to create pitchbook materials.
  • Mid-process support following deal team’s winning of business consists of preparing marketing materials such as teaser blasts, offering memorandums, and internal/external one-pagers for distribution. This is completed in coordination with setting up data rooms and creating investor lists to be utilized throughout the process.
  • Closing stage support involves producing deal matrices and memorandums for clients and coordinating diligence requests as a liaison between Purchaser and Seller.
  • Post-close support includes submitting Traded posts, creating closing summaries and closing announcements.
  • Deal Tracking: Assist with best practices in order to effectuate and maximize revenue generation goals.
  • Tracking the team’s deal pipeline for weekly meetings.
  • Tracking and organizing deal related processes such as tours, investor feedback, and offers received.
  • Monitor, update, and make improvements to the team’s CRM platform. This includes database upkeep of contact information, ensuring meeting and call notes are logged.
  • Update deal listings on third-party websites including: CoStar/LoopNet, and Newmark’s internal website.
  • Administrative Function: Support Senior Executives with administrative needs.
  • Submit monthly expenses via Oracle. This includes organization and record keeping of invoices along with tracking of both personal and deal related expenses.
  • Calendar and email management, ensuring all meetings and client requests are met and coordinated in a timely manner.
  • Meeting coordination including working with multiple teams, scheduling conference rooms, building security registration, dining reservations, and any other external events.

Skills, Education and Experience:

  • High School diploma or General Education Degree (GED) required, & 2 years' work-related experience. Associate degree or bachelor’s degree in marketing and graphic design a preferred.
  • Minimum 2 years related work experience to include Real Estate Brokerage or Sales and Marketing
  • Advanced Microsoft Office Suite, PowerPoint, Excel and Internet research skills
  • Demonstrates administrative support skills including appointment scheduling, and ability to compose/proof and edit correspondence and reports
  • Organizational, communication (written, oral, telephone), customer service and strong attention to detail are essential in this position
  • Problem solving, decision-making, and analytical skills required
  • Ability to prioritize, and manage multiple tasks, and meet stringent deadlines
  • Real Estate License a plus
  • May perform other duties as assigned

Salary Range Language

The expected base salary for this position ranges from $90,000 to $115,000 annually. The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package (including health, vision, and dental insurance, paid time off and a 401(k)-retirement plan with employer matching), this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
