Brokerage Services Coordinator

The Brokerage Services Coordinator plays a critical role in supporting our sales professionals across customer service, marketing, and transactional functions while managing multiple complex projects and competing deadlines. This position requires exceptional organizational skills, strategic thinking, and the ability to thrive in a dynamic, fast-paced commercial real estate environment.The ideal candidate willdemonstratestrong leadership capabilities, advanced technicalproficiency, andpossesseither an active real estate license or be actively pursuing licensure. Location:Indianapolis, IN

Schedule:Monday – Friday, 8:00 AM – 5:00 PM EST (Hybrid: 4 days in office, 1 day remote)

Reports to:Manager, Brokerage Operations & Support

Key Responsibilities

Customer Service Excellence

  • Coordinate andmaintainon-site coverage schedules to ensure comprehensive support for the brokerage team
  • Manage andmaintainthe brokerage pipeline in Dealius, conducting regular strategic reviews with the brokerage team tooptimizeopportunities and ensure data integrity
  • Deliver exceptional customer service to brokers by proactively addressing complex inquiries, resolving escalated issues, and ensuring superior client satisfaction

Marketing & Brand Management

  • Develop, execute, and analyze customized email marketing campaigns whilemaintainingandoptimizingcontact databases across Buildout and other third-party systems
  • Createmarketing materials including flyers, brochures, offering memorandums,andopinions of value, usingbuildout and/or Adobe Creative Cloud
  • Lead collaboration with marketing and brokerage teams to develop comprehensive marketing strategies for diverse property types (retail, office, industrial, mixed-use)
  • Serve as primary liaison with marketing and research teams to ensureoptimalservice delivery for internal and external clients
  • Manage property distribution and advertising across company website and industry platforms (LoopNet,Crexi, etc.),optimizingvisibility and engagement
  • Partner with Market Research team to conduct demographic analysis and create specialized mapping solutions for listings
  • Lead the preparation ofcustomizedproposals, presentations, and communication materials for high-value opportunitiesin collaboration with marketing and research
  • Coordinate site tourlogisticsby preparing comprehensive materials packages including flyers, floor plans, site matrices, and detailed itineraries
  • Develop and execute social media content strategies for featured listings, major transactions, and company events

Transaction Management

  • Compile and review listing agreements for new properties, ensuring full compliance with licensing requirements and company standards
  • Generate comprehensive listing and deal activity reports (inventory, expirations, pipeline) and proactively track critical dates through Dealius
  • Execute the complete Closed Deal process according to established SOPs, including document abstraction, transaction detail confirmation, and broker coordination
  • Draft amendments and coordinate with sales professionals to obtain necessary signatures whilemaintaininglisting currency
  • Manage complex document workflows through DocuSign for listing agreements, LOIs, lease agreements, amendments, and purchase agreements
  • Monitor and analyze accounts receivable through Dealius reporting, coordinating with brokers on collection strategies for outstanding payments
  • Update property and listing information across multiple databases and platforms, ensuring consistency and accuracy
  • Input and analyze comparable data from in-house transactions to support market analysis

Administrative & Strategic Support

  • Maintain organized file management systems on company drive and Dealius, implementing best practices for data organization
  • Activelyparticipatein and contribute to team collaboration meetings, including bi-weekly department and sales meetings
  • Support internal engagement activities and coordinate events for external partners, enhancing relationship building opportunities
  • Mayassistin training opportunities for Brokerage Services Assistants

Performs other duties and responsibilities as assigned to support business needs and contribute to team success.

Qualifications

Education & Experience

  • High school diploma or equivalent required
  • Associate's or bachelor'sdegree preferred
  • Active real estate license or actively pursuing licensure strongly preferred
  • 1-2 years of experience in administrative, marketing, or client support roles with direct real estate industry experience strongly preferred
  • Proven experience in corporate environments providing internal customer service, marketing content creation, campaign coordination, or real estate research

  • Experience with Adobe Creative Cloud, with InDesignproficiencypreferred
  • Ability to manage multiple priorities simultaneously whilemaintainingquality standards
  • Strategic thinking skills with ability toanticipateneeds and proactively solve problems
  • Demonstrated ability to work independently and as part of a collaborative team
