Job Title

Brokerage CoordinatorThe Brokerage Coordinator – Multifamily Capital Markets provides dedicated, high-touch support to a fast-paced Multifamily Capital Markets brokerage team in Miami through day-to-day administration, marketing coordination, pipeline/report preparation, and transaction deliverables management. The role partners closely with brokers, analysts, and the Capital Markets marketing resources to keep pursuits and active assignments on schedule, ensure deadlines are met, and elevate the client experience through best-in-class materials and responsiveness. This is an in-office role based in Miami and receives day-to-day direction from local Operations leadership and the supported brokerage team.

Key Responsibilities

Deal & Deliverables Project Management (Core)

  • Own the day-to-day coordination of active assignments and pursuits, tracking key milestones, deadlines, and next steps across brokers and internal partners to keep workstreams moving.
  • Maintain strong communication loops to keep brokers, clients, marketing partners, and internal teams aligned on status of deliverables, timelines, and upcoming meetings/calls.
  • Coordinate and support property tours, client meetings, and presentations, including scheduling, logistics, and preparation of materials.

Marketing & Client Materials Coordination (OMs, BOVs, Eblasts, Launches)

  • Coordinate production of Offering Memorandums (OMs), Broker Opinion of Value (BOV) materials, proposals, and marketing packages, utilizing approved templates and partnering with design/marketing resources as needed.
  • Support campaign execution tasks such as eblast coordination and distribution workflows, including routing details to the appropriate marketing resource based on project size/thresholds.
  • Assist with launch steps on key listing/distribution platforms (e.g., coordinating launch readiness and internal inputs), ensuring materials and data are complete and accurate prior to release.
  • Manage outside vendors for printing/graphics when not produced in-house; coordinate ordering and delivery.

Data, CRM, Pipeline & Market Support

  • Maintain and update team CRM activity and pursuits in the firm’s CRM system (e.g., Engage), ensuring accuracy and timeliness of opportunity tracking.
  • Support market-facing work by coordinating internal requests for comps, comparable sales tables, and market information (in partnership with research and analysts).
  • Maintain the team’s internal library of marketing collateral (OMs, proposals, templates) and update branch databases as required.

Administrative, Financial & Deal Tracking Support

  • Manage broker administrative needs: calendars, travel logistics, meeting scheduling, mail/calls, visitor coordination, and general office support.
  • Track deals/agreements and coordinate timely handoff of information needed for accounting/commission processing, invoices, and outstanding items.
  • Coordinate internal expense/report submission, invoice tracking, and related administrative processes supporting the team’s production rhythm.

Systems, Process Discipline & Continuous Improvement

  • Build familiarity with Multifamily workflow systems and tools referenced by the team (including OneCap and Multifamily systems such as Revere and TMS), and apply those tools to support consistent execution.
  • Recommend improvements to procedures and share best practices (process organization, software tips, workflow efficiencies) to strengthen reliability and client service.

Qualifications

  • Bachelor’s degree or High School diploma with equivalent relevant experience.
  • 3+ years of administrative / coordinator experience preferred; real estate exposure a plus.
  • Intermediate proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
  • Proficiency (basic-to-intermediate) with desktop publishing / marketing tools used for client materials (e.g., InDesign or similar), and comfort working with templates and graphics.
  • Strong organizational skills, attention to detail, and ability to manage multiple deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills; professional client-facing presence.
  • Exposure to CRM hygiene/pipeline tracking and comfort working with basic quantitative / financial concepts used in marketing/transaction support.
  • Real estate license preferred, or ability to obtain/maintain if required for the market/team.

Success in this role looks like someone who loves pace and accountability, naturally “quarterbacks” multiple deadlines, communicates proactively, and treats every deliverable (OM, BOV, eblast, launch task) like a project plan, ensuring brokers are never wondering “where does this stand?”

This position requires on-site presence at minimum four (4) days weekly, working in office with colleagues to maximize collaboration and efficiency.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
