The Brand Team Coordinator provides operational, administrative and coordination support to the VP/GM and Brand Team, enabling the smooth execution of brand priorities, team operations and cross-functional initiatives across the business.

Reporting into the Brand VP/GM , this role plays a key part in supporting the day-to-day effectiveness of the Brand Team through leadership coordination, meeting management, event support and operational organisation. The role ensures teams remain aligned, connected and equipped to deliver against business priorities and launch calendars.

This role requires a highly organised, proactive and collaborative individual with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administrative Support

  • Provide comprehensive administrative support to the Brand Team, including calendar and diary management and meeting coordination.
  • Organise internal and external meetings, including status updates, project reviews, and strategic sessions.
  • Manage confidential and sensitive information, maintaining a well-organised filing system.
  • Arrange travel itineraries, including flights, ground transport, and hotel bookings for senior leaders.
  • Submit expense reports and maintain accurate records for the Brand Team.

Event & Conference Coordination

  • Coordinate and execute high-standard branded events, including internal conferences and retailer strategy meetings, ensuring they are within budget.
  • Assist with preparing presentations, collating materials, and ensuring smooth event execution.
  • Collaborate with other teams to organise and facilitate events, meetings, and promotional activities.
  • Support the development and implementation of brand conferences, team events, and roundtable meetings with global offices.

Cross-functional Coordination

  • Act as the point of contact for internal and external stakeholders on behalf of the Brand Team, ensuring timely and effective communication.
  • Foster collaborative relationships with cross-functional departments such as Sales, Marketing, HR, Finance, and Supply Chain to ensure alignment and smooth operations.
  • Manage and respond to requests from other departments, ensuring the Brand Team’s objectives are prioritised and communicated clearly.

Project Management & Support

  • Assist with the execution of key brand projects, including promotional activities, campaigns, and new initiatives.
  • Support with the development and management of schedules, ensuring deadlines and targets are met.
  • Provide ongoing support for product launches, coordinating logistics, and overseeing timelines to ensure successful rollouts.
  • Collaborate with the team on ad-hoc tasks as required to maintain operational excellence.

  • Manages leadership scheduling, meetings, travel and communication processes to support efficient team operations.

Coordinates Events & Brand Activities

  • Supports the execution of leadership events, launches, meetings and brand initiatives through strong logistical and operational planning.

Facilitates Cross-Functional Collaboration

  • Acts as a central coordination point across internal teams and external stakeholders to ensure aligned communication and execution.

Supports Project & Launch Delivery

  • Provides coordination and tracking support across launches, projects and business priorities to maintain momentum and delivery standards.

Drives Operational Excellence

  • Maintains strong organisational discipline, attention to detail and process management across all areas of support.

What You Will Need To Be Successful In This Role

  • Strong organisational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication and stakeholder management skills.
  • Strong attention to detail and operational coordination capability.
  • Ability to work effectively within a fast-paced and cross-functional environment.
  • Strong proficiency in Microsoft Office including Excel, PowerPoint and Word.
  • Experience supporting meetings, events, travel coordination and operational planning.
  • Proactive and collaborative mindset with the ability to adapt to changing priorities.
  • Strong interpersonal skills with the ability to build effective working relationships across teams.
  • Experience within a coordination, administrative or operational support role preferred.
  • Luxury, beauty, fashion or premium consumer brand experience beneficial.
