Location: Pittsburgh, PA - (Primary On-Site, with partial hybrid flexibility)

Are you a master organizer who loves the energy of a creative team and thrives on collaboration? Aerie and OFFLINE are looking for a Production & Media Operations Coordinator to be an operational heartbeat for our team.
Reporting directly to the Senior Manager of Brand Operations, you will be the essential bridge between our creative visionaries and our channel execution teams. You will work side-by-side with channel managers, producers, and creatives to ensure our fast-paced lifestyle and studio shoots run seamlessly, while keeping our assets and contracts perfectly locked down.
What You’ll Do:
Creative & Operations Collaboration
- Partner daily with managers, producers, and creatives, to understand upcoming shoot needs and provide hands-on, agile operational support on set.
- Act as a reliable, go-to resource on the studio floor, ensuring the creative team has the operational infrastructure they need to focus on capturing beautiful content.
- Foster a positive, high-energy, and inclusive environment that aligns with the Aerie and OFFLINE brand culture.
Contracts & Usage Rights
- Act as the vital liaison between agencies, our internal legal partners, and the production teams.
- Manage contracts, tracking usage timelines and restrictions to ensure the brand remains fully compliant.
- Communicate contract parameters clearly to channel managers, creative and social teams, ensuring everyone knows exactly where, when, and how our incredible asset library can be used.
Operations & Team Support
- Assist with workflow tools and calendar management of milestone meetings to keep creative timelines on track and meeting deadlines.
- Adapt to the changing, fast-paced needs of a growing retail brand by tackling other tasks as assigned—collaborating across departments to smooth out bottlenecks and elevate our creative and studio workflows.
What You Bring:
- Experience: 1–2 years of experience in operations, photo studio production, media management, creative agency, or a highly collaborative project management role.
- The Ultimate Team Player: You love working with creative personalities and know how to communicate effectively across different teams—from artists to attorneys.
- Detail-Obsessed: You get a rush from a perfectly organized folder structure and never let a contract detail slip through the cracks.
- The Location: You are based in or willing to commute to our beautiful Pittsburgh office. This role is primarily on-site to actively collaborate with the team during live shoots with some hybrid remote flexibility on non-shoot days.

- Actual starting pay is determined by various factors, including but not limited to relevant experience and location.
