Job Title: Branch Administrator (Sales & Lettings)

This is not your typical admin role. As a Branch Administrator, you’ll be the engine behind a high-performing sales and lettings team — the person who keeps everything moving, organised, and compliant.

What You’ll Be Doing
Core Administration & Compliance
- Provide essential support to the sales and lettings teams, enabling them to perform at their best
- Prepare, manage, and organise all documentation relating to property sales and lettings
- Maintain accurate, compliant, and audit-ready records and filing systems
- Oversee key regulatory processes, ensuring all legal obligations are met without delay
- Conduct AML checks, ID verification, and due diligence on vendors, landlords, and applicants
- Manage contracts, questionnaires, and sales memorandums, ensuring timely completion
Sales & Lettings Support
- Coordinate EPCs, gas safety certificates, and EICRs with clients and contractors
- Verify property ownership and supporting documentation (title deeds, FENSA, planning, etc.)
- Ensure tenancy files are fully compliant before move-in and key release
- Manage tenant referencing, Right to Rent checks, and credit checks
- Keep databases up to date with accurate client and property information
- Act as a first point of contact for calls, emails, and enquiries
Marketing & Property Launch
- Prepare high-quality property particulars and secure approvals
- Upload and manage listings across internal systems and major property portals
- Keep marketing materials current, including window displays and online listings
- Coordinate photography and marketing campaigns
- Arrange property boards and promotional materials
- Support targeted campaigns and track responses
Financial & Operational Support
- Process invoices, payments, and receipts accurately
- Assist with client statements and reporting
- Support the preparation of contracts and legal documents
- Help organise branch events, promotions, and client gifting
Office & Team Environment
- Maintain office supplies and ensure a professional, welcoming workspace
- Support the wider team with day-to-day organisation and coordination
What We’re Looking For
Experience
Essential:
- Previous administrative experience
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook)
- Ability to multitask and stay organised under pressure
- A proactive, “can-do” attitude
- Professional and confident communication skills
Desirable:
- Experience in estate agency or property-related roles
- Familiarity with Reapit or similar systems
- Understanding of property legislation and compliance

Qualifications
