Job Title: Supply Chain Coordinator

Contractor Fee: $2,800-$3,000/month (USD)

Work Arrangement: Remote

Engagement Type: Independent Contractor

Commitment: Full-time (Approx. 40 hours/week)

About This Role:
We’re hiring a Supply Chain Coordinator to support a fast-growing health and wellness supplement brand across procurement, freight, inventory, and daily supply chain operations. This is a high-ownership role where you’ll help keep packaging, inventory, shipments, and fulfillment running smoothly across multiple channels. You’ll also serve as the main point of contact for key supply chain activities during a planned leave in August and September. We’re looking for someone who is organized, proactive, comfortable using AI tools like ChatGPT or Claude, and able to solve problems independently with minimal supervision.

Key Responsibilities:

  • Purchase Order & Vendor Management:
    • Create, place, and track packaging purchase orders with vendors and co-manufacturers

    • Monitor PO status against production schedules and proactively flag risks to delivery timing

    • Manage vendor communication, including follow-ups, status checks, and escalations, and maintain organized PO and co-manufacturer records

    • Escalate delays, shortages, or operational risks with enough context to support fast decision-making

  • Freight & Logistics:
    • Coordinate and book inbound and outbound freight shipments across multiple channels

    • Set up and manage inbound shipments within WMS platforms while monitoring receiving accuracy

    • Maintain organized freight documentation, including packing lists, BOLs, and shipment records

    • Troubleshoot transportation issues while helping keep shipping timelines and costs under control

  • Inventory & Fulfillment:
    • Track inventory levels across SKUs and fulfillment locations

    • Coordinate inventory transfers between warehouses and fulfillment centers as needed

    • Manage backorder situations by identifying affected SKUs, determining back-in-stock timing, and proactively communicating updates to internal teams

    • Reconcile inventory discrepancies, investigate unusual variances, and escalate concerns when necessary

  • Invoicing & Records:
    • Process and verify supply chain invoices for accuracy

    • Maintain organized, audit-ready records of supply chain financial transactions

    • Flag billing discrepancies and operational inconsistencies for review

    • Support operational documentation and ongoing process improvements across supply chain workflows

Software/Platforms/Tools:

  • Google Sheets / Microsoft Excel

  • Inventory Management Systems (IMS)

  • Warehouse Management Systems (WMS)

  • Shopify

  • Amazon Seller Central / FBA

  • ChatGPT, Claude, or similar AI tools

  • Slack

  • Google Workspace

  • Zoom

Qualifications:

  • 3+ years of experience in supply chain, logistics, inventory, or operations coordination

  • Demonstrated comfort using AI tools such as ChatGPT or Claude to draft communications, summarize data, troubleshoot issues, and improve workflow efficiency. AI is a core part of how the team operates.

  • Strong Excel or Google Sheets skills

  • Experience working with inventory management systems, ERP platforms, or WMS tools

  • Strong written and verbal communication skills, especially when managing external vendors

  • Ability to work independently, manage competing priorities, and operate with minimal supervision

  • Demonstrated ownership mindset with the ability to close loops, proactively follow up, and drive work forward without being reminded

  • Strong judgment and decision-making skills, including knowing when to resolve issues independently and when to escalate

  • Ability to provide concise, structured updates and communicate blockers early

  • Strong problem-solving mindset with excellent attention to detail

  • Comfortable working in fast-paced operational environments

  • C1 or C2 level English communication skills (written and verbal)

Nice to have:

  • Experience in supplements, CPG, food & beverage, retail, or eCommerce industries

  • Familiarity with Shopify, Amazon FBA, omnichannel operations, and inventory or fulfillment workflows

  • Experience working with freight booking, 3PLs, order management, vendors, co-manufacturers, production scheduling, or US-based teams and brands

Shift Schedule

  • Monday to Friday, must have partial overlap with US business hours.
