Job Description

This is a fixed-term position for one year, with the possibility of extension.

What you will do

You will act as an experienced Booking & Billing professional responsible for booking and billing transactions and ensure that orders, projects, contracts and invoices are processed accurately and in accordance with approved documentation and company policies. You will analyse discrepancies, coordinate corrections and work closely with Sales, Project Management, Service, Finance and other stakeholders.

How you will do it

  • Independently process end-to-end Booking and Billing transactions within the assigned scope.
  • Review and reconcile POs, quotations, contracts, approvals and ERP/CRM information.
  • Create, amend and validate orders, projects or contracts and related billing information.
  • Configure approved billing terms, milestones or instalment schedules where applicable.
  • Validate billing readiness, prior billing, remaining values and supporting documentation.
  • Prepare, review, issue and close invoices and credit notes.
  • Analyse and resolve routine to moderately complex transactional discrepancies.
  • Place incomplete transactions on hold, coordinate corrections and revalidate them before completion.
  • Work with Sales, Project Management, Service and specialist functions to resolve issues.
  • Maintain complete documentation and support control, audit and backlog requirements.

What we look for

Required:

  • Fluency in English and Italian language.
  • Secondary education or university degree.
  • Relevant experience in Finance, OTC, order management, billing, contract administration or customer service.
  • Strong analytical and problem-solving skills.
  • Effective time management, in order to meet deadlines.
  • A positive attitude and ability to provide an excellent customer service.
  • Ability to work independently and resolve transactional discrepancies.
  • Strong attention to detail and communication skills.
  • Good MS Office/Excel knowledge.
  • Minimum experience working in an administrative role preferably within Finance or Legal.

Preferred:

  • ERP and CRM experience.
  • Experience with Install/Project, L&M or maintenance-contract transactions.

The initial basic salary for this position will be in the range of €1650 – €2480 per month, plus a 13th month salary applied after your first 6 months in the job.
