The Body Shop Customer Service Representative serves as the primary point of contact for customers throughout the collision repair process. This position combines customer service, administrative support, accounts receivable coordination, insurance follow-up, and repair order management to ensure a smooth experience from vehicle intake through delivery.

Body Shop Customer Service Representative Job Responsibilities

  • Answer incoming phone calls and route messages appropriately
  • Schedule customer appointments for collision repairs
  • Follow up with and reschedule no-show customers
  • Communicate repair status updates and notify customers when repairs are complete
  • Collect customer payments at vehicle delivery
  • Coordinate vehicle delivery and ensure a positive customer experience
  • Submit final invoices and billing documentation to insurance companies
  • Track insurance payments and proactively follow up on outstanding balances
  • Collect payments from insurance carriers
  • Maintain and update Body Shop and Cash A/R schedules in Reverse Risk
  • Import and match estimates in CCC, including estimates that cannot be automatically imported
  • Create repair files and repair orders (ROs)
  • Order parts for repair jobs
  • Complete authorization forms and required customer documentation
  • Book paperwork and complete warranty-related forms
  • Open, manage, and close repair orders accurately
  • Create purchase orders for sublet vendors and outside services
  • File, scan, and submit purchase orders to accounting
  • Maintain accurate records and documentation throughout the repair process
  • Support the Body Shop Manager and team with additional administrative duties as needed

Body Shop Customer Service Representative Qualifications

  • Previous customer service or administrative experience
  • Strong communication and organizational skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Proficiency with Microsoft Office and general computer systems
  • Experience working with customer payments and accounts receivable
  • Knowledge of insurance claims processes and billing procedures
  • Experience with CCC, Mitchell, and CDK is required
  • Strong attention to detail and documentation accuracy
  • Professional appearance and customer-focused attitude

Corporate requirements: Must be 18 years or older with a valid driver's license and clean driving record, able to pass a criminal background check and pre-employment drug screen.

The Gee Automotive Companies began in 1983 when George Gee opened a Pontiac dealership in Spokane, Washington, which quickly became the largest in the state. In 1991, the company added GMC to its offerings, and in 2000, it relocated to new facilities in Liberty Lake, WA.
