Job Description

ESSENTIAL FUNCTIONS:

Customer Service & Front Desk

  • Greet customers in a friendly, professional manner
  • Answer and direct incoming calls; respond to customer inquiries
  • Schedule appointments for estimates, drop-offs, and deliveries
  • Provide repair status updates and assist with customer communication
  • Maintain a clean, organized, and welcoming front office area

Cashiering & Payment Processing

  • Collect and process customer payments including deductibles and balances
  • Handle insurance checks and electronic payments
  • Issue receipts and maintain accurate transaction records
  • Reconcile daily cash drawer and prepare deposits

Administrative Support

  • Open, update, and close repair orders (ROs)
  • Organize and maintain customer files and repair documentation
  • Assist with insurance paperwork, supplements, and approvals
  • Coordinate vehicle pick-up and delivery documentation
  • Support estimators and managers with clerical tasks
  • Order and maintain office supplies as needed

Coordination & Communication

  • Liaise with insurance companies, rental agencies, and vendors
  • Communicate effectively with technicians, estimators, and management
  • Help ensure timely and accurate flow of information throughout the repair process

MINIMUM QUALIFICATIONS/SKILLS:

  • Previous experience in a receptionist, cashier, or administrative role (automotive or collision center preferred)
  • Strong customer service and communication skills
  • Excellent attention to detail and organizational ability
  • Comfortable working in a fast-paced environment
  • Basic computer proficiency; dealership or collision systems experience is a plus (CCC ONE, Tekion, CDK, Reynolds & Reynolds, etc.)
  • Ability to handle confidential financial and customer information
  • Excellent follow-up and communication skills.

SUPERVISORY RESPONSIBILLITIES:

This role has no supervisory responsibilities

WORK ENVIRONMENT:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers

PHYSICAL DEMANDS:

  • Must be able to lift up to 10 pounds independently; majority of lifting from knee to shoulder heights; other lifting required from various levels
  • Requires standing for extended period with frequent stretching, reaching, walking and stooping, pushing and/or pulling in an environment that may be cold, hot, noisy, and wet and may have fumes or odors due to vehicle maintenance
  • May requires some driving and typing. Required to have visual acuity to operate motor vehicles
  • Requires excellent visual acuity and manual dexterity
