Your New Role
Reporting to the Fund Company Secretary, you will support the effective coordination of Board Committee meetings and related governance activities. You will work closely with the Company Secretariat, Board Committee Members, Executives and other meeting attendees to help ensure meeting materials, logistics, actions and records are managed accurately and efficiently.
You will play an important role in supporting preparation before meetings, smooth coordination on the day, and timely follow-up once meetings have concluded.
Key duties include but are not limited to;
Assisting with the preparation of meeting agendas and Chair run sheets.
Assisting with the collection and review of meeting papers, including ensuring papers have been uploaded, checking for formatting errors, and ensuring reviewer comments and feedback have been addressed.
Preparing the meeting pack for uploading to Diligent Board Books and assisting the Company Secretary with conflicts checks before papers are distributed.
Sending communications to Board Committee Members, Executives and other meeting attendees with a link to meeting materials and/or details of their attendance.
Ensuring meeting rooms are appropriately set up, including a working MS Teams link for virtual attendees and arranging catering for attendees.
Monitoring meeting progress to ensure attendees are present and ready to enter the meeting as required.
Arranging for the Chair to sign previous meeting minutes, issuing tasks for action items, distributing draft minutes, and ensuring papers, minutes and other materials are correctly stored for future reference.
Assisting with the preparation and distribution of Circulating Resolutions and helping co-ordinate any ad-hoc Board Committee meetings.
What You’ll Need
Strong organisational skills and the ability to co-ordinate tasks, set priorities and operate independently.
Meticulous attention to detail, particularly when reviewing papers, meeting packs, minutes and other governance materials.
Strong written and verbal communication skills.
Effective stakeholder management skills.
A highly member-focused approach.
Experience working with a Board of Directors would be highly regarded.
Experience working in financial or professional services organisations would be advantageous.
Knowledge of the superannuation industry would be beneficial.
