Billing Staff - Air & Ocean Operations

PT CEVA Air Ocean Indonesia is seeking a detail-oriented and proactive Billing Staff to join our Air & Ocean Operations team based in Jakarta at the Blugreen Integrated Boutique Office. This vital role contributes directly to the efficiency of our logistics and financial processes within the dynamic air and ocean freight sector. Join us and play an integral role in ensuring accurate and timely invoicing while supporting the broader objectives of our Ocean division.

About the Role

As a Billing Staff member, you will be entrusted with managing the end-to-end invoicing process for ocean freight shipments. Your meticulous management of billing documentation and collaboration with various departments will ensure seamless financial operations and customer satisfaction. You will work closely with teams across finance, operations, and client services to deliver accurate invoices that support our service excellence.

Main Responsibilities

• Ensure all shipment invoices are created accurately and within agreed timelines, contributing to the overall operational efficiency.
• Verify draft invoices thoroughly, checking correctness in billing parties, third-party codes, Incoterms, supporting documentation, and precise calculation of costs and charges, including HCC (Handling Charges and Customs).
• Issue final invoices and coordinate with the document server team to guarantee prompt dispatch and proper filing of documentation.
• Release invoices and associated documents to shippers, consignees, or their authorized brokers upon confirmation of payment from the Finance team, with particular attention to cash customer processes.
• Be accountable for achieving Key Performance Indicators (KPIs) related to billing, promptly addressing any deviations by implementing corrective measures as per company policies and regulatory standards to prevent recurrence.
• Submit Credit Note (CN) application forms when necessary, coordinating with relevant departments to maintain financial accuracy and compliance.
• Maintain up-to-date knowledge of ocean freight regulations, billing practices, and Incoterms to ensure compliance and best practices in all billing operations.
• Collaborate with cross-functional teams including operations, customer service, and finance to resolve queries and improve billing processes.
• Contribute to continuous improvement initiatives to enhance billing accuracy and efficiency, supporting the overall success of the Ocean Operations department.

Key Skills and Qualifications

• Proven experience in billing or financial administration within the logistics, freight forwarding, or shipping industry is highly desirable.
• Strong attention to detail and accuracy in handling complex billing data and documentation.
• Familiarity with Incoterms, shipment invoicing, and basic accounting principles.
• Excellent organisational skills with the ability to manage time effectively and meet strict deadlines.
• Good communication and interpersonal skills to liaise effectively with internal teams and external customers.
• Proficiency in computer applications including invoicing software, Microsoft Office suite, and document management systems.
• Ability to work independently and take initiative while contributing positively within a team environment.
• Commitment to upholding company standards and adhering to regulatory requirements governing billing and documentation.
