Billing Specialist - Remote

The Billing Specialist is a key member of the Operations team that supports the seamless operations of a full virtual, telemedicine-based clinic. As a member of Integrated Sleep Care’s Operations team, performance includes demonstration of the following accountabilities: communication, teamwork, job knowledge and individual leadership.

The Billing Specialist is a key team member supporting the seamless operation of a fully virtual, telemedicine-based clinic. This role is highly administrative and focused on managing internal workflows, digital systems, insurance and billing prep, and ensuring operational consistency across all platforms. The ideal candidate is detail-oriented, tech-savvy, highly organized, proactive, and comfortable working independently in a fast-paced virtual healthcare environment.

PRIMARY DUTIES AND RESPONSIBILITIES

Administrative & Operational Support

  • Manage and maintain provider schedules and virtual appointment templates.
  • Monitor and update internal systems, documentation, and digital workflows to ensure operational accuracy.
  • Coordinate onboarding logistics for new staff, including system access, credentialing documentation collection, and internal setup tasks.
  • Track and follow up on administrative deadlines, credentialing timelines, vendor tasks, and recurring operational processes.
  • Ensure all incoming work is processed within specified SLAs and follows Sanusom’s workflow including entry into all shared trackers in Teams, EHR, Sanusom Portal, CallShaper, etc.

Billing & Insurance Administration

  • Perform insurance eligibility checks and verify patient coverage using payer portals or clearinghouses.
  • Accurately input and update patient insurance and demographic information in the shared trackers, EHR, Sanusom Portal, etc.
  • Prepare daily/weekly/monthly billing batches and ensure accurate coding and charge capture data is passed to billing partners or internal billers.
  • Assist in monitoring denied claims or rejections by coordinating with billing vendors or RCM teams for follow-up.
  • Maintain payer records and documentation needed for audits or payer communication.

Systems & Process Management

  • Manage user permissions and internal system configurations across clinic tools (EHR, scheduling, telehealth platforms, etc.).
  • Support platform troubleshooting and coordinate with internal/external tech support for escalations.
  • Document internal SOPs and operational protocols; ensure consistency across workflows.
  • Assist in monitoring compliance with HIPAA and virtual care regulations in all systems and workflows.

Internal Coordination & Communication

  • Act as an internal point of contact for operational questions from clinical or administrative staff.
  • Support preparation for internal team meetings, generate reports, and track action items or KPIs as assigned.
  • Coordinate recurring administrative functions (e.g., provider onboarding trackers, insurance renewals, system audits).

EDUCATION AND/OR EXPERIENCE

  • Bachelor’s degree in Business Administration, Healthcare Administration, Health Informatics, or a related field (or equivalent experience).
  • 2+ years of experience in healthcare operations, medical administration, or billing/insurance support; telemedicine or virtual/remote work a plus.
  • Strong understanding of EHR systems, insurance workflows and digital administrative tools.
  • Detail-oriented and able to manage multiple complex workflows with minimal supervision.
  • Comfortable working independently in a fully remote, tech-forward environment across time zones with a distributed team.

PREFERRED SKILLS

  • Experience with EHR systems such as Canvas, Athenahealth, or similar.
  • Familiarity with insurance verification tools like Availity, etc.
  • Proficiency in cloud-based tools like Teams, Zoom, DoxyMe, etc.
  • Understanding of telehealth operations, billing best practices, and HIPAA compliance.
  • Experience working with remote teams or digital health startups.

WORK ENVIRONMENT

· This is a fully remote-based position that involves everyday risks or discomforts that require normal safety precautions.

· Must have a suitable space to set up a home office to mitigate distractions that allows he/she to maintain a focused and productive work environment.

· Must be able to effectively manage and minimize distractions in the remote home office setting.

· Home office equipment to be provided includes computer, keyboard, mouse, and monitors.

· Must have reliable internet service to avoid interrupted delivery of service.
