Business Office Manager / Billing & Collections Manager

City View Post Acute is seeking an experienced and detail-oriented Business Office Manager / Billing & Collections Manager to join our team. This is a full-time leadership position responsible for overseeing business office operations, billing and collections, authorizations, and financial processes within our skilled nursing facility.

Salary: $90,000–$100,000+ per year, depending on experience

Schedule: Full Time

Position Overview

The Business Office Manager / Billing & Collections Manager supports the overall operation of the facility by maintaining effective business office systems and ensuring accurate and timely billing, collections, authorizations, and financial processes.

The ideal candidate will have strong knowledge of SNF business office operations, Medi-Cal/Medicaid, managed care, billing, collections, and resident financial services, along with the ability to supervise and support business office staff.

Essential Duties & Responsibilities

  • Oversee day-to-day business office operations and ensure established processes are followed.
  • Obtain and maintain managed care and Medi-Cal/Medicaid authorizations, including bed-hold authorizations.
  • Assist with managing the resident trust fund, including preparing, printing, and distributing monthly statements.
  • Supervise business office staff, including training, scheduling, performance management, and appropriate disciplinary action when necessary.
  • Maintain accurate facility census information and report resident status changes.
  • Assist with Medi-Cal/Medicaid applications and follow up as needed.
  • Track Medi-Cal/Medicaid redeterminations and ensure required documentation is completed timely.
  • Prepare TARs as needed.
  • Participate in billing and payment processes, including preparing and processing bank deposits.
  • Monitor outstanding accounts and conduct collection activities for bad debts.
  • Support accurate and timely billing to residents, insurance providers, managed care organizations, and government payers.
  • Follow up on outstanding balances, denials, and unpaid claims.
  • Maintain accurate financial and business office records.
  • Attend stand-up meetings and other facility meetings as requested by the Administrator.
  • Ensure business office staff are appropriately scheduled and assigned to meet operational needs.
  • Follow up on work results and ensure business office responsibilities are completed accurately and on time.
  • Maintain confidentiality and comply with applicable regulations, facility policies, and HIPAA requirements.
  • Perform other duties as assigned by the Administrator.

Qualifications

  • Previous Skilled Nursing Facility (SNF) experience is required.
  • Previous experience as a Business Office Manager, Billing Manager, Collections Manager, or similar healthcare business office leadership role strongly preferred.
  • Strong knowledge of Medi-Cal/Medicaid, managed care, SNF billing, authorizations, collections, and resident trust accounts.
  • Experience supervising and managing business office staff.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and follow-through.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential financial and resident information professionally.
  • Proficiency with computers and business office software.
  • Ability to work independently while collaborating effectively with facility leadership and interdisciplinary teams.
