Job Description

The Billing Administrator supports the accurate and timely processing of service billings within the Building Services team. They work closely with account managers, operations teams, and clients to ensure work orders are validated, invoiced correctly, and aligned with customer agreements. Success in this role means reliable billing processes, minimized errors or disputes, and strong internal and external relationships.

Key Impact / Purpose

  • Ensure timely, accurate billing by validating work orders and aligning invoices with customer agreements.
  • Support financial performance by reviewing margins, identifying discrepancies, and resolving billing issues.
  • Strengthen relationships with clients and internal teams through clear communication and responsive support.

Duties and Responsibilities:

  • Analyze, prepare, verify, and enter work order data in Fieldpoint for billing approval
  • Ensure billing details align with customer agreements and contract terms
  • Process and submit accurate customer invoices in a timely manner
  • Review work orders to assess margin and profitability
  • Support administration of customer contracts, including set-ups, amendments, and renewals
  • Maintain effective working relationships with customers, account managers, and project teams
  • Identify and resolve billing errors, disputes, and client issues
  • Collaborate with internal departments to ensure accuracy of work order information
  • Review, validate, and process weekly timesheets for accuracy and timely approval

Must haves:

  • 2+ years of billing experience in a large Canadian organization
  • Experience working with ERP systems, customer portals, and Microsoft Office
  • Strong analytical skills with the ability to identify discrepancies and resolve issues
  • Effective written and verbal communication skills
  • Professional, customer-focused approach when working with internal and external stakeholders

Nice to haves:

  • Experience in building services, construction, or mechanical contractor industry (preferably HVAC)
  • Familiarity with Fieldpoint or similar work order/billing systems
  • Experience supporting contract administration

This is a replacement position. Expected annual compensation; $50,000 - $58,000
