Job Description

We're looking for a highly organized, bilingual professional to join our team as a Virtual Recruiting & Operations Assistant

This is an exciting opportunity to support a large-scale AI data collection project by helping onboard new participants, answering questions, and ensuring a smooth candidate experience from start to finish.

You'll work closely with our recruitment team while serving as the primary Spanish-speaking point of contact for participants throughout the onboarding process.

What You'll Do

• Communicate with applicants in fluent Spanish via email, chat, and other communication platforms.
• Explain onboarding requirements, project expectations, and payment structures.
• Send agreements, consent forms, and onboarding documentation.
• Support participants through each stage of the onboarding process.
• Answer participant questions promptly and professionally.
• Resolve onboarding issues and escalate concerns when necessary.
• Track participant progress and maintain accurate records.
• Coordinate with the recruitment team to ensure project timelines are met.
• Follow established processes while delivering excellent candidate support.

Technical Requirements

Applicants must have:

• Windows 11 computer (Mac not accepted)
• Minimum 16 GB RAM
• i5 processor and higher
• Webcam
• USB headset
• Reliable wired high-speed internet connection (Ethernet cable)
• Quiet professional workspace
• Backup power solution strongly preferred
• Ability to complete a technical verification

Requirements

• Native or fluent Spanish speaker.
• Strong written and spoken English.
• Previous experience as a Virtual Assistant, Recruiting Assistant, HR Coordinator, Customer Support Representative, or similar administrative role.
• Excellent communication and interpersonal skills.
• Highly organized with strong attention to detail.
• Comfortable working independently in a remote environment.
• Reliable computer and high-speed internet connection.
• Available to start immediately.

Preferred Qualifications

• Experience supporting recruitment or onboarding processes.
• Experience working with remote teams.
• Familiarity with Google Workspace, Microsoft Office, or similar productivity tools.
• Experience using ATS or CRM platforms is an advantage.
