The Role
Reporting to the Manager, CRM Operations, the Specialist, CRM Operations main purpose is to:
• Oversee All DVM deployment to practices throughout Canada from initial practice contact through to post-implementation review.
• Ensure all processes relating to the AllyDVM deployment are followed correctly and set deadlines, having full awareness of the status of each process, and escalating any issues where necessary.
• Ensure deployments are smooth and successful.
• Ensure any changes landed within our practices are done so empathetically, and expectations are set at the earliest opportunity.
• Collaborate with peers to continually feedback and improve the rollout processes
• Assist the Manager, PMS Implementation, in the process of various software integration projects from initiation to completion.
• Liaise with and shape strong working relationships with third-party partners, development teams, and Project Managers.
Responsibilities
• Must be able to travel across Canada when required with overnight stays for multiple days.
• Point of contact for the practice during the AllyDVM implementation process.
• Liaison between lead practice staff and other internal departments
• Liaison with third-party suppliers, Project Managers, and software development teams.
• Report any potential issues to the Manager, PMS.
• Post-implementation review and feedback.
• First point of contact during final rollout processes prior to and during the system/s going live.
• Maintain and update all deployment and integration documentation for each software implementation.
• Manage deployment issues, raise tickets, and hand them over to internal or third-party support if necessary.
Duties
• Initial planning and preparation including discussing each deployment with relevant team members.
• Hold a remote initial meeting with the Practice Manager and/or key clinic staff after the kick -off meeting has been done.
• Follow the deployment schedule, and update checklists & documentation.
• Document integration meetings with third-party partners.
• Set up database environments.
• Onboard clinics.
• Ongoing communication with practice around the deployment plan.
• Deployments and integrations will be carried out remotely, although you may be required to be onsite if necessary at a practice for some implementation go-live days.
• If not on site, be the first point of contact for all issues on the day of going live.
Background, Experience, and Qualifications
• Working within a veterinary clinic role.
• Strong verbal and written communication skills in both French and English.
• Software implementation experience is an asset but not necessary.
• Excellent communication skills, with the ability to tune style and approach to create great relationships with a diverse range of personalities.
• Experience in a customer-facing role.
• Project Management accreditation/experience would be an asset.
• Proficient in Microsoft Office/O365 (especially Excel)
• Experience in auditing data quality would be an asset.
• Excellent organizational and time management skills.
• Comfortable working in a pet friendly environment.
