Bilingual Senior Executive Assistant
(VP, Business Development)

What is in it for you:
• Salaried: $47-57 per hour.
• Incorporated Business Rate: $56-66 per hour.
• Contract position for 14 months to cover a maternity leave.
• Day schedule, 37.50 hours per week.
• Hybrid work model with 1 day per week in the office.
Responsibilities:
• Provide efficient and high-quality administrative support to the VP of Business Development and support in-person meetings as required.
• Manage all aspects of the VP’s calendar, ensuring meetings are appropriately prioritized with internal and external clients and business partners.
• Manage all travel arrangements and take ownership of travel coordination.
• Proactively support the VP and make decisions on behalf of the leader when required.
• Manage administrative budget activities, including expense reimbursements and purchase orders.
• Support day-to-day operational needs, including ordering meals, booking meeting rooms, and coordinating logistics.
• Collaborate with other Executive Assistants through Teams chats to ensure alignment and seamless support.
• Demonstrate strong coordination skills while supporting leaders and cross-functional teams.
• Monitor the VP’s emails and manage requests related to meeting scheduling.
• Anticipate the VP’s needs in a dynamic and fast-paced environment.
• Assist with the preparation, review of French content, and distribution of internal and external communications.
• Support events and perform other administrative duties as required.
What you will need to succeed:
• 8 years of experience as an Executive Assistant supporting senior leaders.
• Demonstrated ability to manage and own an executive calendar, including prioritizing meetings, resolving conflicts, and optimizing time management.
• Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Demonstrated strategic thinking and creative problem-solving skills to support leader effectiveness.
• Ability to handle highly confidential and sensitive information with integrity and discretion.
• Exceptional interpersonal skills with the ability to build strong relationships and collaborate effectively across teams while working independently.
• Strong organizational and time management skills with the ability to manage competing priorities effectively.
• Bilingual in English and French to communicate effectively with internal and external stakeholders and support bilingual communications.
