The Patient Service Coordinator is responsible for coordinating the daily administrative and client access operations of the clinic. This role supports the intake process, prescribers/client scheduling, insurance verification, and front desk operations while ensuring a welcoming environment for clients and efficient support for clinical staff. The Patient Service Coordinator serves as a key liaison between clients, clinicians, administrative staff, and external providers to ensure timely access to services, accurate documentation, and efficient clinic workflow. Responsibilities also include some administrative office functions, and oversight of the Patient Service Representative.
ESSENTIAL FUNCTIONS:
Clinic Operations & Billing Support
Manage daily front desk operations, including answering phones, greeting and checking-in clients, verifying client information, and directing client traffic.
Maintain intake and scheduling records to ensure compliance with regulatory requirements. Tracks referral and intake outcomes.
Takes client’s referral information, triages urgency of the appointment, verifies insurance and assigns an intake appointment.
Maintain accurate client registration and documentation in the Electronic Health Record (EHR).
Interfaces with insurance companies in regards to referrals, prior authorizations and other insurance related issues.
Collects and records co-pays for visits.
Schedule appointments for prescribers and maintain accurate provider schedules.
Oversees ordering, use, and tracking of Medicaid reimbursable client transportation.
Generate and distribute clinic reports related to referral tracking, billing reports, and insurance documentation.
Provides support and delegates tasks to the Patient Service Representative around clinic and billing support.
Other Duties as assigned by the Billing and Operations Manager.
Administrative & Office Support
Provide administrative and general support to clinical staff and clinic leadership.
Log in and secure medication deliveries to the site.
Assist with tracking and scheduling clients receiving injectable medications.
Assist in preparing operational reports; summarizing information; identifying trends.
Maintains office condition and requests repairs as needed.
Orders supplies as needed
Runs and distributes reports as assigned by an administrator and clinic supervisor.
Provides support and delegates tasks to the Patient Service Representative around administrative and office support functions.
Other duties as assigned by Clinic Administrator.
QualificationsEDUCATION AND EXPERIENCE:
Minimum Bachelor degree preferred (H.S. Diploma/GED or Associate’s degree with relevant experience may be considered)
Minimum 3 years of administrative or clinic operations experience, preferably in behavioral health or healthcare settings
Experience with client intake, scheduling, insurance verification, or clinic administration preferred.
