Job Description

About Wellity Health

Wellity Health provides outpatient mental health care for the greater bay area and Southern California, with a focus on underserved populations (in-person and via telehealth). In this role, you'll work in-person at our Fremont clinic every day. You'll be the first point of contact for clients and the day-to-day administrative support for our remote clinicians across 5 states.

Our Values and Goals

We're committed to true equity in mental health: equitable, accessible care for people from all backgrounds. Our goals are to reduce symptom severity, reduce or eliminate the need for higher levels of care, and foster lasting positive outcomes for our adolescent clients and their loved ones.

We pride ourselves on a management style and workplace culture that is respectful, understanding, and collaborative, while always prioritizing the well-being and effective treatment of our clients.

Job at a Glance

  • Location: Fremont, CA, on-site every day
  • Schedule: Full-time, non-exempt (hourly), Monday-Friday between 8:30am and 5:30pm
  • Pay: $21.00 - $23.50/hr, depending on experience. Higher rates require bilingual Spanish skills.
  • Benefits: PTO, health, dental, vision, and life insurance, and a 401(k), available after a short waiting period
  • Level: Entry-level, with room to grow
  • Open to: Bilingual, Spanish-speaking candidates only, with prior medical or mental/behavioral health office experience preferred

What matters most for this role

  1. Deep fluency in Spanish language and culture. You can navigate the nuances of patient communication in a clinical mental health setting accurately and with care.
  2. Comfort with multiple technology programs at once. You can move between our EHR, Zoom, Google Workspace, and other systems throughout the day.

What You'll Be Doing

  • Answer calls and schedule appointments: Handle scheduling, rescheduling, and general inquiries with clarity and compassion.
  • Verify insurance and explain coverage: Work with insurers to verify eligibility and help clients understand their benefits.
  • Prepare patient records: Keep registration and appointment records complete, accurate, and HIPAA-compliant.
  • Support clinical staff: Manage paperwork, calendars, and clerical tasks for therapists and nurse practitioners.
  • Keep the office welcoming: Keep the clinic clean, organized, and inviting.

A typical day starts with email and G-chat check-ins with providers and a review of your assigned clinicians' calendars. You'll then answer client questions by phone and email, complete provider and patient trackings, and coordinate with colleagues on priority tasks. Before wrapping up, you'll confirm tomorrow's tasks and documentation.

Requirements

Essential:

  • Fluency in Spanish language and culture, well beyond conversational. You can discuss clinical matters with Spanish-speaking clients accurately and sensitively.
  • Ability to work in multiple technology programs at once. This includes EHR systems, Zoom (including helping clients use it), and Google Workspace (Docs, Sheets, Gmail, Calendar), and you learn new systems quickly.
  • Prior medical or mental/behavioral health office experience, including insurance, scheduling, and EHRs preferred but not required.

Also required:

  • Customer service excellence, especially with nervous or uncertain clients
  • Strong organization and attention to detail
  • Clear, professional spoken and written communication
  • Punctuality, reliability, and regular attendance
  • Ability to sit or stand at a computer for extended periods
