Bilingual Front Office Coordinator

The Bilingual Front Office Coordinator is responsible for providing administrative and applicant service support within a fast-paced staffing office. This role serves as the first point of contact for applicants, employees, and clients while assisting with recruiting activities, onboarding, scheduling, compliance, and daily office operations. The ideal candidate is professional, organized, bilingual in English and Spanish, and able to multitask effectively.

Essential Duties and Responsibilities:

  • Greet and assist applicants, employees, clients, and visitors in a professional manner
  • Answer and direct incoming phone calls and emails
  • Conduct applicant intake, pre-screening, and interview scheduling
  • Assist with onboarding new hires and collecting required employment documents
  • Maintain accurate employee records and data entry in staffing software systems
  • Support recruiting efforts through job postings, candidate follow-up, and appointment confirmations
  • Verify compliance documentation including I-9s, IDs, certifications, and background requirements
  • Coordinate employee check-ins, attendance tracking, and communication with client sites
  • Assist with payroll processing, timekeeping issues, and employee inquiries
  • Maintain office supplies and ensure front office organization
  • Translate conversations and documents between English and Spanish as needed
  • Provide excellent customer service to clients and temporary employees
  • Support management with administrative projects and reporting

Qualifications:

  • Bilingual in English and Spanish required
  • High school diploma or GED required
  • Previous staffing, recruiting, customer service, or administrative experience preferred
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Ability to work in a fast-paced environment with professionalism and urgency
  • Strong attention to detail and confidentiality

Preferred Skills:

  • Knowledge of onboarding and employment verification processes
  • Ability to resolve employee concerns professionally
  • Experience working in warehouse or light industrial staffing environments preferred

Work Schedule:

Monday – Thursday (8am to 5pm), with flexibility for overtime or occasional weekend support as needed.
