POSITION: Bilingual Thrive Operations Coordinator

REPORTS TO: Director of Campus Operations

POSITION TYPE: 12-month

COMPENSATION: $19.86 - $23.37

THE ROLE

When you join the YES Prep team, some of the exciting work and responsibilities will include:

Campus maintains or is above ADA

  • Providing and/or supervising the creation of required reports for all school operations including, but not limited to, enrollment, attendance, funds accounting;
  • Picking up attendance rosters, and calling absent students’ guardians in an effort to get students to school quickly and determine 1) why the student is absent, 2) if there is anyone to bring the student to school and 3) inform the guardian of the consequences of the student not attending school regularly;
  • Communicating with teachers to ensure attendance is taken accurately and on time
  • Making all changes necessary in the attendance database for each student’s home campus;
  • Serving as a liaison between campus personnel and Home Office on all attendance-related issues;
  • Playing an active role in communicating absences to all stakeholders

All supporting documents are collected and organized by PEIMS reporting code

  • Thinking strategically about operational systems and providing recommendations for increased efficiency, staff satisfaction and preserving data integrity; 
  • Maintaining attendance and generate reports for school leadership;
  • Collecting student excuse notes, making all changes necessary in attendance database, filing them appropriately;
  • Checking and reviewing a variety of data for accuracy, completeness, and conformance to established standards and procedures;
  • Assisting in maintenance of school-based records, including grades;
  • Ensuring compliance with all state, federal and organizational policies and procedures with regards to student data;
  • 100% of student errors resolved prior to PEIMS submissions;

Expenses are within the approved budget and compliant

  • Support Director of Campus Operations with finance related tasks such as credit card reconciliation, revenue tracking, purchasing and receiving;

Campus safety is prioritized 100% of the time

  • Training will be provided to serve as the medical designee back up for minor student issues and concerns as they arise on campus;
  • Ensure all locations on campus are free of clutter and well organized, ready to receive visitors;
  • Warmly greet and assist all visitors, and sign them into Raptor;
  • Answering and processing all incoming calls in an efficient and rapid manner;
  • Calling families to notify them of any students needing to leave early;

Specific measurable system implementation

  • Overseeing daily administrative operations and resolving problems related to day-to-day operations;
  • Preparing onboarding materials for students and families;
  • Communicate transportation needs for new students that onboard and as students return to their home campus;
  • Communicate bus routes to families and work with transportation to resolve any challenges;
  • Organize breakfast and lunch rosters and provide counts to Child Nutrition;
  • Additional duties as assigned.

MUST HAVES

  • 1-3 years of business, operational, or managerial experience 
  • Knowledge of finance, accounting, budgeting, and cost control procedures 
  • Knowledge of the laws, rules, procedures, and programs specifically related to the business operation of public schools in Texas
  • Ability to analyze, develop, establish, and maintain efficient office workflow and administrative processes
  • Ability to maintain the highest level of confidentiality
  • Fluent in Spanish
  • Ability to exercise excellent judgment in decision-making

THE PERKS

· Compensation – This position is a non-exempt, hourly position; offers commensurate with experience.

· Health and Supplemental Insurance – A $0 monthly medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.

· Retirement Plans – Participation in Teacher Retirement System of Texas and a 457b Retirement Plan.

· Paid Time Off – Employees working 20+ hours a week receive 15 days of Paid Time Off in addition to the system closures during the Academic Calendar.

Please note, part-time hourly employees (working fewer than 40 hours/week) do not receive pay during system closures. Additionally, 10- and 11-month hourly employees do not receive pay during the months in which they are not working.
