Job Description
The Bilingual Administrative Assistant supports the janitorial and facilities management team within the Manufacturing/Semiconductor industry. This role ensures smooth administrative operations, assists with scheduling and compliance, and provides excellent communication between staff, vendors, and ABM leaders and Client leadership.
Pay: $30 - $34 per hour
The pay listed is the hourly range or the hourly rate for this position. A specific offer will vary based on applicant’s experience, skills, abilities, geographic location, and alignment with market data.

Administrative Support:
- Maintain records of janitorial staff schedules, attendance, and work orders.
- Prepare reports, memos, and correspondence related to cleaning and maintenance activities.
- Manage inventory of cleaning supplies and process purchase orders.
Scheduling & Coordination:
- Assist in scheduling janitorial staff for daily and special events.
- Coordinate with vendors for equipment servicing and supply deliveries
- Provide hands on support during high volume onboarding, including answering new hire questions and assisting with I9 completion.
- Communicate clearly with team members and demonstrate strong familiarity with onboarding procedures.
Compliance & Documentation:
- Ensure adherence to health, safety, and sanitation standards.
- Maintain documentation for inspections and compliance audits.
Communication:
- Serve as a point of contact between janitorial staff, client administration, and external contractors.
- Respond to inquiries and resolve minor issues promptly.
Financial Support:
- Process invoices, track expenses, and assist with budget monitoring for janitorial services.
- Must have a Valid Start Driver's License
- High school diploma or equivalent (Associate degree preferred).
- Bilingual (Spanish & English)
- 1–2 years of administrative experience; facilities or janitorial experience a plus.
- Experience processing manual payroll for a large employee population.
- Ability to review, verify, and enter timesheets with a high degree of accuracy.
- Strong data entry skills with exceptional attention to detail to ensure accuracy across payroll and billing processes.
- Experience supporting or managing the billing process, including ensuring all data is properly allocated and accurately entered into digital systems.
- Proficiency in Microsoft Excel (including formulas, spreadsheets, and data organization) and other Microsoft Office applications.
- Ability to ensure payroll and billing information is accurately captured, digitized, and maintained
- Experience working with Microsoft systems and other payroll-related software tools.
- Strong organizational and time-management skills, with the ability to meet deadlines in a fast-paced environment.
- Effective communication skills and ability to collaborate with internal teams.
- Proficiency in Microsoft Office Suite and scheduling software.
