POSITION SUMMARY:  The Bilingual Administrative Assistant aids and supports school administration, teachers, parents, and students. By providing quality service to any parent and staff, phone etiquette, and cordial to any visitors as the administrative are the face of the building.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- occupational disease and injury, including the exercise of universal precautions and preventing contamination.
- Keep office well maintained and organized, WI Shares payments and payment agreements
- File paperwork as needed for student files including physicals, emergency contact cards, and intake under 2 forms.
- Provide staff with necessary paperwork when appropriate (notifications for parents, referrals, announcements, etc.)
- Also maintain files and complete reports on CACFP, attendance, and daily sheets.
- File sign-in sheets for students and staff
- Connect families on Dojo and make center announcements as needed.
- Check email frequently and reply on time.
- Create newsletters and announcements as needed.
- Aid parents and school personnel with school enrollment procedures and paperwork.
- Maintain office bulletin board updated to keep information current and accurate.
- Answer phone calls promptly and professionally, assist as needed when called on two-way radio
- Prepare monthly menus and distribute them accordingly
- Request school supplies, follow procedures with purchase orders, and perform supply inventory weekly/biweekly
- Assist in the classroom as needed
- Attend monthly staff meetings and other training
- Other duties as assigned
- Become thoroughly familiar with the Head Start Employee Handbook: Human Resources Policies and Procedures, Head Start Operations Manual, and all other HS handbooks, manuals, and resources and adhere to them.
- Comply with all Health and Safety policies including ensuring no child is left alone or unsupervised by staff, consultants, contractors, or volunteers while under my care

- Demonstrates basic computer knowledge, Basic knowledge of Excel, word, and Google Drive.
- Handle sensitive information in a confidential manner
- Reply to email, telephone, or face-to-face inquiries.

- Ability to work frequently go up and down stairs.

QualificationsQUALIFICATIONS:
High School Diploma or equivalent, one-year office experience working as a secretary, good organizational and communication skills, attention to detail, good customer skills, bilingual in Spanish needed to communicate effectively with parents, basic knowledge of computer programs – Microsoft Word, Excel, and Google Drive.
