Job Description

Bids Executive

Dubai | Permanent

Our standard working hours are 9.00am–6.00pm, Monday to Friday, with flexibility required depending on business needs.

Exceptional by design. A career where your ideas shape winning bids.

The opportunity

Join a collaborative Central Bids team of around 20 bid professionals, supporting Pinsent Masons’ key global sectors, legal practice areas and locations. Based in Dubai, you’ll focus on bids for our Middle East offices in Abu Dhabi, Doha, Dubai and Riyadh, while supporting the wider Central team as required.

You’ll take responsibility for managing the production of bids from start to finish, working closely with the Bids Manager and Senior Bids Executive in Dubai, as well as the Bid Partners leading each opportunity. You’ll advise on bid best practice, coordinate stakeholders across the firm and provide the project-management and creative oversight needed to deliver high-quality responses on time.

The team’s focused support has helped deliver significant improvements in both bid processes and win rates. This role gives you the opportunity to contribute across bid strategy, proposal development, client engagement, presentation preparation, content management, reporting and continuous improvement.

At Pinsent Masons, your career is exceptional by design - intentionally shaped to support high performance, meaningful development and long-term progression.

What you’ll do

You’ll manage and shape bids throughout the full process, providing practical advice, creative input and disciplined project management. Your responsibilities will include:

  • Managing the bid process from start to finish, coordinating contributors and delivering complete, high-quality responses to deadline.
  • Working with bid teams to shape the strategy, identify key themes and messages, and provide advice on the most effective approach.
  • Writing, editing and creatively developing proposal documents and supporting materials for both written submissions and interview stages.
  • Engaging with clients during scoping and debrief activity and working closely with Bid Managers on larger or more complex opportunities.
  • Producing focused capability statements, proposals and other bespoke marketing collateral for informally identified opportunities.
  • Using business development tools to identify and collate the most relevant material efficiently.
  • Managing pre-qualification and vendor-registration stages, including assessing the opportunity, coordinating Partners and other stakeholders, and producing the completed response.
  • Supporting presentation teams through rehearsals and taking ownership of presentation materials.
  • Maintaining and improving pre-written content, guides and standard materials within the firm’s automated content library.
  • Producing reports and analysis of bid activity and contributing to projects that improve information flow, analysis and bid best practice across the firm.

What you’ll bring

You’ll be collaborative and proactive, with the confidence to build trust and respect with senior stakeholders. You’ll also bring strong organisation, attention to detail, resilience and enthusiasm, alongside:

  • Experience managing bids, advising on approach and strategy, ideally gained within the Middle East region.
  • Experience writing and editing persuasive copy for high-quality client-facing documents.
  • The ability to manage, guide and advise stakeholders throughout a bidding process.
  • Strong project and time-management skills, with the ability to balance multiple bids, priorities and demanding deadlines.
  • Experience coaching presentation teams and supporting rehearsals.
  • A creative approach, with the ability to develop solutions to client needs and visualise alternative ways of presenting information.
  • Excellent written and verbal communication skills, with fluency in English; written and spoken Arabic is an advantage.
  • Strong document-production skills, particularly in Microsoft Word and PowerPoint.
  • Experience in legal or another professional-services environment is preferred, although we welcome bidding experience gained in other industries.
