As a Bidding Coordinator, you will play a vital role in supporting Business Development, Bidding and Estimating, and Pre-Construction teams by coordinating bid administration, opportunity kickoff activities, subcontractor RFP workflows, proposal deliverables, and bid-stage accountability for DEPCOM Power. Your contribution will help ensure that customer proposals and subcontractor bid packages are organized, compliant, timely, and supported by clear project information, action tracking, and stakeholder alignment.


This role will be in our Scottsdale, AZ office and is not eligible for VISA Sponsorship.

You will be part of the pre-construction team supporting Business Development, Bidding and Estimating, Project Delivery, PDE, Precon, and RFP Specialist partners. The team is dedicated to expanding DEPCOM Power's presence in the solar and energy storage market by creating disciplined bid processes, clear project information, compliant proposals, and well-coordinated subcontractor engagement. What You Will Do

  • Support Business Development, Bidding and Estimating, and Pre-Construction with proposal creation, customer submissions, subcontractor RFP coordination, and bid-stage administration.
  • Schedule and coordinate internal Strategy Meetings, Kick-Off presentations, Labor Strategy Meetings, and related pursuit meetings for new opportunities.
  • Coordinate deliverable checklists and assemble comprehensive proposals.
  • Support the Bidding and Estimating Team on external customer calls by preparing materials, capturing follow-up items, and coordinating post-call updates as needed
  • Manage project data rooms, bid logs, and related document-control systems to keep pursuit information organized, current, and accessible to internal stakeholders.
  • Collaborate heavily with internal teams by documenting live meeting notes, tracking action items, updating the Project Fact Sheet, and maintaining bid-stage visibility throughout the pursuit.
  • Support subcontractor RFP compliance by tracking partner interest, decline-to-bid notes, replacement partners, bid submissions, required documents, and ad-hoc reporting throughout the RFP process.


Who You Are (Basic Qualifications)

  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Experience using project management, document control, bid management, or collaboration platforms such as Procore, SharePoint, Smartsheet, or similar systems.
  • Experience coordinating fast-moving schedules, meetings, deliverables, and follow-up actions under deadline constraints.
  • Experience managing multiple projects or pursuits across business development leads, estimators, project delivery stakeholders, and external bid participants
  • Experience quickly learning new software applications.
  • Experience developing and delivering communications tailored to diverse audiences, including internal stakeholders, external partners, and customers.


What Will Put You Ahead

  • Experience succeeding in a fast-paced environment.
  • Three to five years of professional experience in a bidding coordinator or similar role.
  • Experience in the energy or construction industries with an emphasis in preconstruction, subcontracting, procurement, or proposal coordination activities.
  • Experience leveraging AI tools to work more efficiently.
