About the Role

We are seeking a motivated Bid Coordinator to join our Fuels & Energy Pre‑Contracts team based in Brisbane.

This role plays a critical coordination and administrative function within the bid team, supporting Bid Managers and technical contributors to deliver high‑quality, compliant tender submissions.

You will be responsible for managing bid administration, coordinating meetings and reviews, maintaining document control, and ensuring bid material is accurately formatted, stored and submitted in line with governance and client requirements.

Success in this role comes from being highly organised, comfortable working across multiple systems, and bringing a positive, team‑focused attitude in a fast‑paced environment.

Key Responsibilities

  • Provide strong administrative and coordination support across all phases of the bid process
  • Coordinate bid meetings, workshops, reviews and approvals, including preparation of agendas and actions
  • Manage bid documentation, version control and records across SharePoint, SAP and client portals
  • Format tender responses, CVs and project data sheets to a professional standard
  • Ensure compliance with client requirements, UGL governance and branding standards
  • Interface with client and third‑party tender systems and software platforms
  • Track bid milestones, deliverables and inputs to meet submission deadlines
  • Maintain bid registers, document libraries and opportunity databases
  • Support Bid Managers and the wider team with day‑to‑day support

About You

  • Experience in bid coordination, marketing, communications, administration, or similar roles
  • Strong attention to detail with confidence formatting complex documents
  • Comfortable working across multiple computer systems and quick to learn new software
  • Highly organised with the ability to manage competing priorities and deadlines
  • Strong communication skills and a collaborative, can‑do attitude
  • Enjoys working as part of a team in a deadline‑driven environment
  • Relevant business, commercial or administration qualification desirable
