The Bid Coordinator supports the sales process by identifying new projects, organizing all bid documents, and ensuring timely communication of project updates to the sales team. This is a part-time role (20-25 hours/week) with flexibility and remote work capability. Daily check-ins during business days are required to ensure prompt distribution of new projects and addenda.

Essential Duties and Responsibilities:
  • Monitor projects sources daily including Builder’s Exchanges and the Drawings email inbox to identify new projects and addenda
  • Download, save, and organize all project documents including plans, specifications, and addenda
  • Set up new projects and proposals in the CRM
  • Create project folders
  • Evaluate project documents to identify applicable HVAC equipment, basis-of-design manufacturer and MMS-represented brands approved in specifications
  • Notify appropriate sales teams members of new projects and addenda promptly
  • Track bid-cycle activity
  • Assist with sales team inquiries related to project documentation
  • Perform additional related duties as assigned to support the sales process

Experience and Requirements:
  • Proficiency with Microsoft Excel, Outlook and Windows file management
  • Familiarity with CRM systems and accurate data entry
  • Excellent organization and attention to detail
  • Strong communication skills
  • Ability to work independently and manage time effectively
  • Familiarity with HVAC equipment and/or the construction process is preferred
