About the Role

We are seeking a highly organised and proactive Bid Administrator to support our Business Development and Estimating teams. In this role, you will coordinate tender submissions, manage correspondence, and ensure compliance with client requirements. You will play a key part in securing new business by supporting the preparation of Expressions of Interest (EOIs) and tender submissions.

Key Responsibilities


    Act as the central point of contact for tender notifications, emails, and correspondence.
    Receive, log, and distribute tender-related communications in a timely manner.
    Register and download tender packages; set up folders and prepare documents for Tender Meetings.
    Assist with preparation, coordination, and compilation of final tender and EOI submissions.
    Maintain tender registers, BD Revenue Registers, and historical project files.
    Prepare, record, and distribute Tender Meeting minutes and action items.
    Update and maintain company resumes for tender submissions.
    Assist in preparing Client Relationship Management Plans (CRMPs) for potential clients.
    Support the estimating team with document control, tender administration, and coordination of deliverables.

Required Skills & Experience


3–5 years’ experience in a similar administrative or bid support role.


  • Highly organised, detail-oriented, and collaborative.

  • Strong Excel skills; experience with data analysis a plus.

  • Proficient in MS Office, Adobe InDesign, and online research tools.

  • Experience assisting with submission writing for tenders and EOIs.

  • Familiarity with AI tools and ability to critically review outputs.

  • Excellent communication and interpersonal skills.

  • Ability to translate multiple data sources into a central CRM or Opportunity Register.
