Owen Health Care, Inc. is seeking a highly organized and responsive Bi-Lingual Staffing Coordinator to coordinate employee schedules and help ensure continuous, high-quality care for our clients.

The Bi-Lingual Staffing Coordinator will match qualified employees with client assignments, manage schedule changes and callouts, monitor service coverage, and communicate with employees, clients, families, and agency leadership. The ideal candidate is an effective problem-solver who can manage competing priorities and respond calmly and professionally to urgent staffing needs.

Essential Job Functions

  • Coordinate employee placements and schedules to ensure authorized client services are appropriately covered.
  • Match employees with assignments based on qualifications, credentials, experience, availability, client needs, and location.
  • Respond promptly to callouts, open shifts, schedule changes, and urgent coverage needs.
  • Maintain accurate employee schedules, availability records, case assignments, and coverage documentation.
  • Monitor employee attendance and service delivery using the agency's approved scheduling and timekeeping systems.
  • Follow up on missed visits, late arrivals, scheduling conflicts, and other service concerns.
  • Communicate assignments and schedule changes to employees, clients, families, and agency leadership.
  • Serve as a liaison between employees, clients, families, and the agency regarding non-clinical scheduling matters.
  • Escalate clinical concerns to the nursing supervisor or appropriate clinical leader.
  • Assist with recruiting, screening, interviewing, onboarding, and orienting new employees.
  • Collect and track required personnel and credentialing documentation before employees are assigned to cases.
  • Monitor licenses, certifications, training, background checks, health records, and other employment requirements.
  • Participate in quality-improvement activities and assist with audits and compliance reviews.
  • Prepare staffing reports and communicate coverage concerns, vacancy trends, and census-development barriers to leadership.
  • Support community outreach, recruitment events, health fairs, and relationships with referral sources.
  • Participate in the agency's on-call rotation, including evenings, weekends, and holidays, as assigned.

Qualifications

  • Bachelor's degree in healthcare administration, human services, business administration, or a related field preferred.
  • At least two years of staffing, scheduling, healthcare, home care, or social services experience preferred.
  • Experience coordinating multiple employee schedules in a fast-paced environment.
  • Knowledge of healthcare staffing practices, scheduling procedures, and compliance requirements.
  • Excellent written, verbal, interpersonal, and customer-service skills.
  • Strong organizational, time-management, and problem-solving abilities.
  • Ability to manage multiple priorities, meet deadlines, and respond effectively to urgent staffing needs.
  • Ability to maintain confidential employee and client information.
  • Proficiency with Microsoft Office and the ability to learn scheduling, payroll, electronic health record, and other agency systems.
  • Reliable transportation and the ability to travel to agency and community locations when needed.
  • Availability to participate in the on-call rotation.
