About the Job

The purpose of the internship is to provide practical support for event logistics and general administration in ECFR’s Berlin office. The intern will support events organised by the Berlin office and ECFR programmes in Berlin, including the Berlin Foreign Policy Club, Black Coffee Mornings, lunch events, and the DARE conference in December. The role will focus primarily on logistical preparation, on-site coordination, follow-up administration, and day-to-day office support.

Main Responsibilities

• Event logistics support:Assist with the practical organisation and delivery of events hosted at ECFR’s Berlin office, including the Berlin Foreign Policy Club, Black Coffee Mornings, lunch events, and other events organised by ECFR programmes in Berlin. Tasks may include preparing guest lists, tracking RSVPs, liaising with participants and service providers, preparing rooms and materials, supporting catering arrangements, welcoming guests, and helping with on-site coordination and follow-up.
• DARE conference support Provide logistical and administrative support for the DARE conference in December, including preparation of participant and speaker information, coordination of event materials, assistance with travel and accommodation logistics where needed, support for internal planning lists, and on-site assistance before and during the event.
• CRM Management:Assist with maintaining the CRM system and support the network engagement and communication efforts of the Berlin office
• Administrative and Office Support:Support the Office Manager and Berlin office team with day-to-day administrative tasks, including answering the phone, responding to emails sent to the general inbox, receiving deliveries, processing or tracking office-related requests, supporting orders for supplies, and assisting with other practical office tasks as needed.
• Team Collaboration:Work closely with the Office Manager, the Berlin office team, and programme colleagues to ensure smooth event delivery and office operations. Provide flexible support for practical tasks and urgent needs, particularly in the run-up to larger events.
• Occasional research support: Support ad hoc research-related tasks where needed, such as background searches, short summaries, and preparation of materials for research papers, briefings, or speaking engagements.

Other general tasks may be reasonably requested over time.

Person Specification

• Current Bachelor's (3rd year onwards) or Master's student in Political Science, International Relations, Public Administration, Social Sciences, or a related discipline.
• Previous experience in event support, hospitality or customer-facing work would be an advantage.
• Strong interest in international affairs and the work of ECFR, combined with a practical, service-oriented approach for supporting events and office operations.
• Proficiency in written and spoken English (C1) and German (minimum B1 level)

Skills and Abilities

• Organizational Skills: Well-organized, with the ability to multitask effectively, prioritize responsibilities, and maintain attention to detail.
• Proactivity and Flexibility Proactive, self-motivated, and flexible, able to work both independently and as part of a multinational team.
• Communication and Interpersonal Skills:Strong communication skills, with ease in drafting invitations, engaging in social interactions, and presenting ideas. Comfortable working in a multicultural environment and able to adapt communication styles accordingly.
• Technical Proficiency: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experienced in using tools like CRM systems and WordPress.
• Reliability and Quality Focus Detail-oriented, reliable, and committed to delivering high-quality work with a positive attitude.
• Teamwork and Management: Capable of managing tasks efficiently, prioritizing and multitasking in a fast-paced environment, with strong interpersonal and social skills that contribute to team success.
