Position Summary

The person in this position is often the first point of contact for Bluegrass Care Navigators administrative offices and as such, presents and responds in a positive, professional manner at all times. The Bereavement Administrative Assistant must ensure the front desk welcomes guests warmly, while executing all administrative tasks to the highest quality standards encompassed within our mission. This position functions as the primary assistant to the Bereavement department and back-up to the Office Manager and includes receptionist’s duties such as: answering and redirecting all incoming phone calls, coordinate front-desk activities, updating calendars and requests, typing correspondence and documents, special projects, faxing, errands outside organizational office and offering administrative support across the organization.

Position Duties & Responsibilities:

  • GED or High School Diploma; One year certificate from college or technical school; or a minimum two years related experience and/or training; or equivalent combination of education and experience. Preferred bereavement/grief/hospice or medical experience.
  • Professional oral and written communication skills with ability to speak effectively and interact with staff and community.
  • Exceptional internal and external customer service.
  • Ability to read and interpret documents, policies and procedures, procedural manuals, and operating instructions.
  • Ability to write routine reports and correspondence.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks efficiently.
  • Ability to interpret and apply understanding to carry out instructions furnished in written, oral, or diagram form.
  • Maintain a positive and professional attitude, along with a strong work ethic.
  • Exercise appropriate judgment, integrity, and discretion in confidential and sensitive matters.
  • Ability to be resourceful and proactive when issues arise, to streamline office operations.
  • Knowledgeable of and proficient in a variety of computer programs including word processing and spreadsheets, including, but not limited to, Microsoft Excel, Word, and Power Point.
  • Experience with general office equipment (computer, printer, copier, and fax machines.).
  • Knowledge of medical terminology, death/dying issues, and awareness of The Organization’s hospice philosophy.
  • Comprehensive operating knowledge of telecommunication system, and meeting and Webinar equipment.
  • Must be a licensed driver with automobile that is insured in accordance with state and/or organization requirements and is in good working order.
  • Team members will be expected to comply with Bluegrass Care Navigators (BCN) Employee Health, infectious disease, and vaccination policies.
