Benefits Supervisor Responsibilities:

The Benefits Supervisor supports the effective administration and financial management of the Company’s employee benefit programs. Reporting to the Benefits Manager, this position provides day-to-day oversight of key benefits administration processes, including benefits payroll reconciliation, self-insured plan billing and funding reconciliation, leave of absence administration, and supports annual Open Enrollment.

The Benefits Supervisor serves as a working supervisor with responsibility for ensuring benefits transactions are accurate, timely, compliant, and appropriately reconciled across benefit vendors, payroll, HRIS, and other systems. The position also directly supervises the Leave of Absence Coordinator and helps ensure employees and managers receive consistent, timely support throughout the leave process.

Benefits Payroll Reconciliation & Controls

  • Manage and perform regular reconciliation of employee and employer benefit deductions between payroll, benefit administration systems, and benefit vendor records.
  • Identify, research, and resolve discrepancies involving benefit deductions, enrollment elections, eligibility, retroactive changes, partial pay, refunds, and other benefit-related payroll transactions.
  • Partner with Payroll, HRIS, Finance/Accounting, and benefit vendors to ensure accurate and timely records and processing of benefit deductions and adjustments.
  • Develop and maintain reconciliation processes, reports, documentation, and controls designed to identify errors and reduce financial and employee-impacting issues.
  • Review benefit-related payroll activity for accuracy and escalate significant discrepancies, trends, or control concerns to the Benefits Manager.

Self-Insured Benefits Billing & Reconciliation

  • Coordinate and reconcile billing and financial activity associated with the Company’s self-insured benefit programs.
  • Review carrier, third-party administrator, pharmacy, stop-loss, and other benefit vendor invoices and funding requests for accuracy and reasonableness.
  • Reconcile benefit invoices, claims funding, administrative fees, enrollment, and other plan-related charges against internal records.
  • Research and resolve billing discrepancies with vendors.
  • Maintain appropriate documentation (SOPs) and audit trails supporting benefit payments, reconciliations, and adjustments.
  • Assist the Benefits Manager with benefit cost reporting, budget support, audits, and analysis as needed.

Leave of Absence Administration & Supervision

  • Directly supervise, coach, and support the Leave of Absence Coordinator.
  • Provide oversight of day-to-day leave administration and ensure cases are handled accurately, consistently, timely, and in accordance with Company policies and applicable requirements.
  • Provide guidance and escalation support for complex leave situations.
  • Monitor leave workload, case status, service levels, documentation, and employee/manager communications.
  • Coordinate with Payroll, HR, HRIS, benefits vendors, and other stakeholders regarding employee leave status, benefit continuation, return-to-work activities, and related transactions.
  • Support administration and compliance associated with applicable federal and state leave programs and Company leave policies.

Open Enrollment Coordination & Communication

  • Coordinate operational activities associated with annual Open Enrollment under the direction of the Benefits Manager.
  • Support Open Enrollment project plans, timelines, testing requirements, communications, and implementation activities.
  • Coordinate with benefit vendors, HRIS, Payroll, HR and other stakeholders to ensure enrollment readiness.
  • Assist in developing clear employee communications, enrollment materials, FAQs, presentations, manager resources, and other educational materials.
  • Coordinate and perform system and plan configuration testing prior to enrollment launch.
  • Monitor enrollment activity, troubleshoot employee issues, and coordinate resolution of system or vendor problems.
  • Perform post-enrollment audits and reconciliations to confirm elections, payroll deductions, and vendor enrollment files are accurate.

Benefits Administration & Operational Support

  • Support the Benefits Manager with the ongoing administration of health and welfare benefit programs.
  • Serve as an escalation resource for complex employee benefit questions and administrative issues.
  • Build effective working relationships with benefit vendors and internal business partners.
  • Maintain benefits procedures, process documentation, controls, and administrative calendars.
  • Support benefit plan audits, compliance activities, reporting, and other benefits initiatives as assigned.
  • Identify opportunities to streamline processes, strengthen controls, improve data accuracy, and enhance the employee benefits experience.
  • Participate in benefit system implementations, vendor transitions, plan changes, and other special projects.

Leadership Responsibilities

  • Provide day-to-day direction, coaching, prioritization, and performance feedback to the Leave of Absence Coordinator.
  • Establish clear expectations and service standards for leave administration.
  • Promote accountability, accuracy, responsiveness, and continuous improvement.
  • Work collaboratively across HR, Payroll, Finance/Accounting, HRIS, Operations, and external benefit partners.
  • Escalate material risks, financial discrepancies, compliance concerns, and employee-impacting issues appropriately. Bob Evans Restaurants, LLC is EEO compliant and participates in E-Verify

Knowledge:

  • Strong understanding of employee benefit administration processes and benefit/payroll integration.
  • Demonstrated ability to reconcile financial and benefits data and identify discrepancies.
  • Strong analytical skills and attention to detail.
  • Working knowledge of applicable benefit and leave requirements, including ERISA, COBRA, HIPAA, ACA, FMLA, and applicable state leave requirements.
  • Strong Excel and data-analysis skills.
  • Experience working with HRIS, payroll, benefit administration, and vendor systems.
  • Strong organizational and project-management skills with the ability to manage multiple deadlines and competing priorities.
  • Effective written and verbal communication skills with the ability to explain benefit information clearly to employees and managers.
  • Ability to handle confidential and sensitive employee information appropriately.
  • Strong problem-solving skills and the ability to work effectively across functional areas.

Education/Experience:

  • Bachelor’s degree in human resources, Business Administration, Finance, Accounting, or a related field preferred; equivalent relevant experience may be considered.
  • Typically, 5+ years of progressively responsible experience in employee benefits administration.
  • Prior supervisory, team lead, or demonstrated leadership experience preferred.
  • Experience with benefits/payroll reconciliation and benefit vendor billing strongly preferred.
  • Experience supporting self-insured health and welfare plans preferred.
  • Experience administering or overseeing employee leave programs preferred.
