Job Description
Base pay: $120,000+ per year
The role
The Benefits Manager is Nuvia’s hands-on benefits expert, owning health and welfare, 401(k), associated compliance, open enrollment, vendor relationships, and employee questions. This role reports to the Senior Director of Payroll, Benefits & Compensation.
This role is suited for someone who takes ownership of their work, manages deadlines independently, proactively follows up with carriers and vendors, and ensures issues are resolved. The ideal candidate identifies smarter ways to work through systems, automation, and AI tools rather than adding headcount. Nuvia is beyond the startup stage but continues to grow, so success requires comfort with ambiguity, independent problem-solving, and the ability to identify needs without waiting for direction. This role will also contribute ideas on plan design, renewals, and cost management while helping shape the future of Nuvia’s benefits programs.
What this role owns
- Open enrollment: Plan and manage open enrollment from start to finish, including system setup, employee communication, carrier files, and post-enrollment cleanup.
- Compliance: Maintain compliance with ACA, including 1094/1095 reporting, COBRA, HIPAA, ERISA, Section 125, and applicable regulations across multiple states. Track requirements and deadlines.
- Leave management: Track and manage employee leaves, including FMLA, state leave programs, and disability. Maintain clear records and coordinate with payroll to ensure pay and deductions start and stop at the appropriate times.
- 401(k) plan: Serve as plan administrator and coordinate with the recordkeeper, TPA, and auditor on contributions, nondiscrimination testing, Form 5500, and the annual plan audit.
- Vendors and carriers: Serve as the primary contact for carriers and benefits vendors, hold partners accountable to service levels, and resolve issues promptly.
- Invoices and reconciliation: Review and reconcile monthly benefits invoices against enrollment and payroll records. Identify and resolve discrepancies before they become larger issues.
- Employee questions: Respond to benefits questions from employees and managers across the company, resolve claims issues, and escalate matters when appropriate.
- Payroll partnership: Collaborate with payroll to ensure deductions, imputed income, and benefits changes flow accurately into payroll.
- Renewal support: Support annual renewals by preparing data, reviewing broker analyses, and identifying trends, risks, and options for discussion.
- Process and systems: Maintain accurate benefits data in the HRIS and develop or improve processes as Nuvia adds clinics. Document new processes and keep existing documentation current as workflows evolve.
