Job Category: Human ResourcesThe Benefit and Leave Coordinator position is responsible for administrative and compliance support for the Company group benefits, leave of absence programs, managing the open enrollment process, and communications; works closely with the Director of Human Resources and benefit partner agencies regarding benefit analytics, serves as a representative of the benefit plans, assists with communication of Company policies, and interacts with employees and third-party administrators. Maintain accurate, confidential records.
Leave of Absence & Workers’ Compensation
- Open, track, and maintain LOA/FMLA/workers’ comp files; document follow-ups and medical updates on a semimonthly basis.
- Coordinate PTO usage during leave and benefit deduction payments with payroll.
- Manage return-to-work accommodations with supervisors, case managers, and providers; record qualified changes in HRIS.
Benefits Administration
- Educate new hires on plans, eligibility, and enrollment via HRIS (Employee Self Service).
- Interpret policies and answer employee/manager questions; create benefit communications and infographics.
- Handle claims resolution, change reporting, invoice approvals, and plan communications.
- Coordinate monthly billing with vendors and analysis reconciliation reports.
- Review/approve weekly TPA claims, admin fees, and stop-loss reimbursements.
- Support retirement plan comms (quarterly education, contribution updates); provide monthly reporting.
- Ensure timely new-hire enrollments, approve qualified life event changes for payroll, and produce participation/deduction reports.
- Send eligibility/termination letters; maintain COBRA portal and notifications.
Open Enrollment
- Share eligibility with carriers; communicate plan changes and deliver presentations.
- Monitor completion; QA HRIS enrollment reports.
Payroll/Onboarding Support
- Transition new-hire data into HRIS for payroll/benefits; process new-hire/termination benefit data.
- Coordinate onboarding task for new team members, including benefits orientation.
- Train quarterly on full payroll cycle; serve as backup to Director of HR.
- Liaise with Finance/Payroll on benefits and HRIS issues.
General Administration
- Support HR research and special projects; manage compliance posters.
- Build ad-hoc personnel reports for authorized leaders.
- Support team engagement (lunches, recognition, events) and community projects.
- Attend HR meetings/webinars; uphold company policies; maintain professional conduct with employees, vendors, and residents.
- Ensure fair, ethical, consistent compliance; punctuality, and other duties as assigned.
QualificationsEducation: Bachelor’s degree (B.A.) from a 4-year college or technical school preferred or equivalent job-related experience. Must demonstrate literacy in the English language including reading
Experience: Three to five years of related experience and/or training. Proven experience in benefit administration, LOA/FMLA/worker's compensation and HRIS data management. Strong knowledge of eligibility, COBRA, QLEs, billing/reconciliation and vendor management.
Computer Skills: Working knowledge of; Microsoft Office Suite, HRIS system knowledge (ADP, Paycom, etc.)
Certificates & Licenses: Valid State Issued Drivers’ License
