This position is responsible for assisting in the management and administrative duties of all Banquet event operations for the Hershey Lodge Banquet department. This includes but is not limited to, event billing and settlement, reviewing Banquet Event Orders to maintain accuracy, and assisting the operations management team.

Job Duties (Duties marked with an asterisk are essential functions of this job):
Updating and executing Banquet event billing on a daily basis. Communicate with internal partners to ensure accurate settlement and revenue allocations.*
Perform department administrative duties to include, but not limited to: answering phones, taking and communicating messages, recording messages, typing, taking and distributing meeting minutes, assisting with maintaining attendance, scheduling in Kronos and payroll, creating custom labels and signs, and keeping files organized and accurate.*
Work with the F&B Administrative Assistant on set-up, maintenance, and execution of special event reservations and seating systems (ie: Open Table) as well as assisting at the registration desk of those events, when needed.*
Support the creation and posting of the weekly schedule and assist with payroll exceptions and adjustments. Update, build, revise, and post the daily schedule based on operational needs (as counts or events may be changed or altered).*
Maintain updated Culinary, Banquet, and Arrangement BEO books, updated with equipment needs and any changes or alterations from the change sheet each day.*
Create labels, signs, and menus for themed and standard Banquet Events. Prepare Banquet Checks for each function (including Beverage Only Functions) with guarantees provided each day to ensure accurate billing.
Order office supplies, maintaining pars to standard and assisting with the purchasing of inventory needs for all three department operations.
Maintain accurate tracking of on-call schedule and assist with correspondence to the on-call staff for scheduling purposes.*
Perform other duties as assigned.
Qualifications:
Minimum of 1 years of related experience.
18 years of age or older.
Post-Employment - Must obtain RAMP certification within 60 days of hire
Completion of high school or GED
Knowledge, Skills, and Abilities:
Computer experience and proficient in Microsoft Office, Birchstreet, Delphi, Lotus Notes, Amadeus, Kronos, Gmail and knowledge of I.G. POS helpful.
Understanding and Ability to learn Open Table Software for Holiday events.
Must possess organizational, problem solving, and guest/employee relations skills.
Professional image representative of property image.
Understanding of leading a Union Workforce.

Must exhibit strong leadership, motivational and organizational skills.
Ability to type 50 words per minute with a high degree of accuracy.

This job will require many physical tasks in a multitude of working conditions that can vary based on business demand and which type of event it is. At times you will spend your entire shift doing work while sitting and utilizing a computer and other times you will spend 80% or more of your shift on the floor. Schedule will vary based on operational need, but does include early morning, mid shifts and evening shifts. It will also include weekends and holidays.
